Administrative Assistant

We are searching for an experienced Administrative Assistant

Overall job purpose

This role is to provide effective and efficient
administrative support for the Bury St Edmunds office and on occasion the Cambridge
office (as required). Assist the Facilities Supervisor and provide cover when
needed.

Responsibilities

  • Administration/Secretarial Support
  • To have responsibility for the office archiving, including sorting the files and logging them on the Restore website database, organising for the collection of boxes. Keeping the database up to date and recording amendments. Dealing with requests from staff for the retrieval of files and keeping a record of these files
  • Send out archiving destruction lists to Partners/Directors and liaise with them regarding files on the list
  • Ensure that the files are being stored in accordance with the RSM Document and Retention policy
  • Carry out checks of the files stored in the office and liaise with relevant staff regarding files that need to be removed and archived
  • Oversee any special archiving projects that may occur and work with Line Manager and OMP to ensure the desired outcome is achieved
  • Open, log and scan incoming post and distribute accordingly
  • Have responsibility for the office stationery supplies and carry out weekly checks to ensure sufficient stock levels are available
  • Provide ad hoc admin/reception support in the Cambridge office as required
  • Oversee the PPI mail system and take responsibility for the daily logging of outgoing post
  • Provide assistance to the Facilities Supervisor as and when required and provide back up cover during their annual leave/absence
  • Order staff business cards and seek correct approvals ahead of placing order
  • Distribute printer cartridges and deal with any ordering issues that may occur
  • General organisation and filing of client records
  • Photocopying, scanning and faxing as required
  • Answering the telephone using MS Teams, relaying accurate and clear messages in a timely manner via email
  • Provide 'Front of House’ cover and assisting with events & seminars as required, including meeting and greeting clients and guests and providing refreshments
  • Provide a level of secretarial cover as required for various teams when their secretary is on annual leave or absent
  • Assist with month end billing for various departments as required - training will be provided
  • Any other duties as required by the business

  • Experience of supporting management and departments in a professional practice, including dealing with clients in a helpful and friendly manner
  • Strong organisational skills
  • Highly motivated and willing to have a flexible approach to their working week
  • Attention to detail
  • A strong team ethic, with good interpersonal and communication skills
  • Ability to work under pressure
  • Able to multitask and prioritise
  • A good knowledge of Microsoft Office
  • Pro-active nature with ability to work on own initiative
  • Able to communicate well with all levels of staff
  • A willingness to travel to both our Bury St Edmunds and Cambridge office is essential
