This is a 6 month role due to start ASAP. After the 6 months there is a possibility of an extension or permanent role dependent on experience
Working hours: Monday to Friday, 9am to 5pm/8am to 4pm
The Vice-Chancellor and the Executive are leading the delivery of our exciting and ambitious vision for the University. As such, they require outstanding office support to enable them to the effectively drive these strategic objectives, including smart and efficient systems and administrative support in this extremely demanding environment.
The sucessful candidate will ensure the Office is well-briefed on the systems, be the central point for inputting and controlling information, and providing trouble-shooting support. They will work with the Executive Support Manager to ensure the Office’s compliance on all relevant internal and external processes and systems is exemplary and of the highest performance in the institution.
They will also be an integral part of the Vice Chancellor’s Office and will work closely with the team of PAs in ensuring the appropriate administrative and logistical support is in place for the effective running of the office. The ASO must demonstrate outstanding customer service, time management and organisational skills and a high level of self-motivation and initiative in order to ensure that the Office is fully supported and has an effective working knowledge of all systems.
To produce compliance reports on all systems as required to ensure the Operations Manager and Senior Executive Support Officer is briefed on areas were there is low compliance in the Office.
To process, where appropriate, financial transactions relating to sales, purchases, credit card payments, employee expenses and internal charges on the relevant systems;
To be the Office expert and trouble-shooter on all electronic systems and University procedures and policies;
To ensure high levels of compliance on all systems, in order to ensure the Office leads by example;
To process financial transactions relating to debtors, creditors, departmental credit card, direct debits, expenses & internal charges using Agresso. To arrange travel and conference bookings for staff of the Office and external bodies as required;
To assist with the general work of the Office, undertaking any such other administrative duties as may be assigned including to service meetings and working groups as necessary, managing meeting bookings, ordering catering provisions, and to update staff annual leave and sickness;
To provide cover, as needed, for PAs in the Office, ensuring a full professional PA support service is maintained at all times;
To provide administrative support to the whole Office, at the discretion and direction of the Executive Support Manager, including undertaking high volumes of complex financial and administrative processes in line with university procedures;
