EXECUTIVE ASSISTANT TO DIRECTOR

JOB SUMMARY

The Executive Assistant’s primary remit is to work directly for the director and act as a gate keeper for the partners and the company. Based within the London office. Attendance at UK events and potential to travel (e.g. Europe, Middle East & America) according to needs of business.

HOURS OF WORK

Office opening hours will be 08:00 til 18:00 Monday to Friday. Contractual hours would be 37.5 hours per week between those times according to the needs of the business. However, it may be the case that in order to fulfil the duties or the role in providing service to clients, different or additional hours may be necessary. On-going requirement to work on / attend events - outside of normal office hours.

SALARY & BENEFITS

Based on experience - up to £40,000 per annum

MAIN DUTIES & RESPONSIBILITIES TO INCLUDE BUT NOT LIMITED TO

Full diary and travel management for the director

Address book management

Research and project management - responsibility to see delivery of service / project to completion

Managing junior assistants

Liaising with celebrities, influencers and high profile individuals

Such additional duties as may be required from time to time in order to deliver an outstanding service to clients

Attending meetings, events - primarily London, potentially abroad

KNOWLEDGE SOUGHT

Experience in any of the following sectors/areas: entertainment, luxury travel, hospitality, lifestyle, leisure, administration

Handling of senior executives, VIP’s, celebrities

Additionally - direct understanding of PR agencies and concierge companies, and contacts in major industries (HR, PR, Media, Finance, Hospitality & Travel Tourism etc.) - would be an advantage

REQUIREMENTS

Excellent written & oral communication

Experienced in dealing with confidential information using discretion and sensitivity at all times

"Can-do" attitude - ready to get involved at all times

Fast learner - adapting to new processes in rapid change climate

Confident, with the ability to prioritise, meet deadlines working under pressure

Proactive & reactive in equal measure

Ability to remain calm & courteous under pressure, and effective conflict management

Outstanding project management skills

Self-starter & own manager

Strong IT & CRM system skills

Good team player and sense of humour
