Administrative Assistant

A renowned Housing Association is currently looking for a temporary Administrative Assistant to work on an ongoing temporary basis.

Key responsibilities are as follows

Provide administrative support to include: organising and maintaining records (electronic & paper), updating policies & procedures, liaising with contractors, photocopying, telephone answering

Raise purchase orders in consultation with team members, monitor the status of the works and ensure payment is made when appropriate

Maintain the administrative functions of the team including asset lists, property lists, compliance certificates, survey information and contact information

Service meetings as requested, taking and recording minutes, initiating actions arising from meeting as appropriate.

Update CRM with relevant information including legal action being taken against tenants

Provide additional information to contractors and consultants to enable them to carry out works/surveys

Prepare letters and reports and distribute when required

Manage incoming calls, emails, letters and invoices to the team and ensure responses are sent within agreed timescales liaising with colleagues where necessary

Take responsibility for ensuring complaints are dealt with in given timescales and reported to the contract manager/senior contract manager.

Essential Requirements

Must have a strong consistent administrative background for no more than 3 years

Excellent on Word & Excel

Excellent communication skills

Able to start immediately or on short notice
