Receptionist - Temp to Perm - Starting ASAP

We are looking for a receptionist with a warm welcoming attitude. To leave a great first impression for our clients & visitors who come to our offices.

The role of reception team is to ensure that you provide the highest level of client care and personal service to all stakeholders in the Clients business which includes visitors, client and internal stakeholders.

Hours rotate, 8 hours per day between 7am and 7pm

Main Duties and Responsibilities:

Delivering outstanding service

  • Provide a warm, courteous and prompt welcome on arrival and on departure for all visitors
  • Ensure that the hosts for the meetings are contacted promptly and that clients are informed at all times about their hosts arrival time
  • Handle all incoming telephone and switchboard calls / enquiries promptly giving a warm, courteous welcome and using the agreed salutation
  • Ensure that all on day meeting room bookings / queries / changes and requests are dealt with promptly and in courteous manner. Report any issues to Reception manager immediately
  • Be reliable, flexible, honest and strong advocate for BaxterStorey and the Client
  • Ensure that the meeting rooms and refreshments are set up to the highest standards
  • At all times ensure you provide a consistent service
  • Ensure that you are Security conscious and that all visitors have a host and clearly display their visitor badge at all times

Developing excellent relationships

  • Actively and positively engage with colleagues, clients and other stakeholders to ensure a seamless service experience
  • Anticipate client needs and follow up with clients to ensure that client expectations are met and where possible exceeded
  • Trouble shoot client and visitor problems using research and problem-solving skill
  • Take ownership and responsibility ensuring you are working effectively and developing close relationships with your colleagues
  • Support your colleagues and assist coaching New Starters, Team Support team 


  • Communicate visitor and client arrivals to the relevant people promptly so that the visitor or client is either met or escorted to the relevant meeting room / area in a timely manner
  • Handle client and visitor queries and supply relevant information to them
  • Ensure that waiting visitors are kept informed of any delays and progress and to ensure client comfort
  • Carry out regular checks of the reception waiting area including meeting rooms, lobby areas and cloakrooms to ensure all client areas remain clean & tidy
  • Complete a handover when opening and closing
  • Assist with collating any monthly and ad-hoc reports on service usage and service issues to ensure that customers and facilities management receive appropriate information in an accurate and timely manner
  • Ensure housekeeping and maintenance issues are logged / reported, discuss any issues with your line manager
  • Attend 1-2-1 meetings, weekly team briefings to ensure you are engaged and understand the overall vision of the Law firm and on site updates
  • Be aware of relevant legislation to include health & safety and be security conscious at all times
  • Provide ad hoc legal support when required (when business levels allow)
  • Provide and assist with event bookings (booking, organising and confirming) including food ordering
  • Ensure that all FOH invoices are forwarded to the relevant departments in a timely manner
  • Enter all future guests onto Cabs
