Connect2Luton are excited to recruit a Receptionist and Administrator facilities assistant on behalf of Luton Borough council for Luton Rising (LLAL)

Purpose of position:

To undertake the reception duties for Luton Rising, (the trading name of London Luton Airport Limited) at its serviced office complex Hart House Business Centre, Kimpton Road, Luton. To carry out a wide range of Administration and Facilities assistance duties for this site and other Luton Rising owned and operated properties. Acting as the face of the company providing an efficient and customer focused support service to all occupiers and visitors.


·To manage the reception service at Hart House Business Centre, taking telephone calls and passing on messages as appropriate, greeting and assisting visitors to the building, and ensuring that the public areas are kept tidy and presentable throughout the day. Involving opening and or closing the building ensuring all H+S landlord obligations & H+S compliance responsibilities are met.

·Manage and maintain a range of building management systems, procedures and processes, including computerised systems for building security and car parking control, to ensure that these are kept up to date and accurate, and to monitor and prepare reports from such systems when needed to do so in relation to any incidents. Responsible for the booking of meeting rooms both for internal and external. Ensure rooms are set with refreshments prior to meeting start and cleared at end.

·Take responsibility of a range of administrative and facilities assistant duties at Hart House.

·Comply with H+S guidelines & quality standards working in the building and grounds & carry out necessary action to ensure any faults are escalated and promptly rectified;

·Day to day facilitation of external service contracts i.e cleaning, maintenance, pest control, etc. to ensure services are carried out in accordance with contractual requirements.

·Become first aid and Automatic External Defibrillator trained.

·Manage and deliver, on a daily basis, a range of support services for the occupiers of the building, including post collection, sorting and franking services, and such other comparable services as may be offered from time to time.

·Manage bookings for the use of meeting rooms, ensuring that rooms are prepared to users' reasonable requirements, including the provision of technical support in the use of equipment.

·Act as first point of contact for receiving and resolving any facilities management issues in relation to Luton Rising's other owned and operated buildings that may require travel within the Borough and keeping an up to date project file of all issues. Key holder for Luton Risings other owned and operated buildings including keeping an accurate register of the same.

Skills and Experiences:

  • Demonstrable experience of working in an environment requiring the highest standards of customer service for members of public, tenants, colleagues & senior Management
  • Demonstrable experience of undertaking a range of tasks within an office environment, including the management and maintenance of bespoke computer systems, and of the use of office machinery such as franking machines, photocopiers, etc
  • Able to deal politely and tactfully with a wide range of people, using negotiating and persuasion skills to resolve issues with occupiers, visitors and contractors
  • Able appropriately to use a range of IT software including Microsoft Office applications including drafting letters and emails, download and manipulate data from computer systems and present in a clear and presentable manner, suitable for issuing to a varied audience
  • Able to manage, plan, organise and prioritise own workload to deadlines and to work flexibly to suit service requirements
  • Able to identify when discrimination is taking place in the work place and able to take appropriate action where this is identified
  • Previous Reception or Customer Service Experience
  • Able to work outside normal office hours on occasion
