For: Receptionist / Administrator - Swavesey - GBP15,000 - GBP17,000 per annum

Our client procure, develop, lease and manage commercial properties in the UK. They own all of their premises, many of which are in prime sites. Their portfolio has been expanding since they acquired their first property in 1965, and they are proud of the personal, tailored service that they can offer to clients. They are looking for an experienced Administrator/Receptionist to join their team.

Duties to include;

To manage reception and switchboard
To provide support to the MD and EA
To provide administration support to the Property Managers
To provide support to the Student Accommodation team
To develop and maintain professional relationships with tenants and co-workers
To develop industry relevant knowledge

Reception & General Office Administration

Senior Management Support - assist MD and EA as required
Switchboard - transfer calls to the correct department/individual or deal with enquiry; check answer machine; take messages
Post - manage incoming and outbound post; order postal products as required; maintain funds on the franking machine
Faxes - check incoming faxes daily and forward onto the correct person
Visitors - meet, greet and sign-in visitors; offer refreshments as necessary
Deliveries - report deliveries to the correct department/person
Stationery - place orders and manage stock
Deposits- Protect/Unprotect student deposits and send certificate
Filing - update current student packs with paperwork and archive historical information
LandMark - input tenant information onto LandMark database and save to the correct files under their tenancy
Spreadsheets - update relevant student spreadsheets using Excel
Offer letters - email tenancy offer letters out to students
Student Packs - create new student packs as required
Keys - arrange key collections for student check-in
Website - update website in respect of student accommodation availability and property specifications
Student Pad - update Student Pad as required
Messages - take messages for Property Managers and process
Property Viewings - book property viewings with prospective tenants and enter into Property Managers diary. Confirm the days viewings each morning and advise the Property Manager accordingly
Property Documents - scan and upload property documents (floor plans, EPCs, Gas / Fire / Electrical safety certificates etc.) to Property Master Folder as they are renewed and updated
Tenant Documents - create tenancy documents (tenancy agreement, standing order mandate, deposit information, initial payment monies etc.), send to the tenant and agree the check-in time, as per the Property Managers instruction
Filing - archive tenant packs/agreements and department paperwork upon instruction of the Property Manager
Web site / Property advertising - regularly review advertising on the website to ensure accuracy of property information, description and photographs, to include EPC and floorplan

Mon - Fri, 9-5.30pm (1 hr lunch Mon & Fri; ½ hour lunch Tue, Wed & Thur)
