Purchasing Assistant

Purpose of the Role:

This is a key role within a small and dedicated team. You will be responsible for many key aspects

of the buying function and its administration which has a direct impact on the success and

profitability of the company. You will be actively involved in all areas of the business and this will

lead to substantial interaction with other team members at all levels including senior management

plus contact with external customers and suppliers.

Key objectives:

  • Preparing and issuing Request for Quotation and Purchase orders to external suppliers as well as Sales offers to customers in accordance with departmental and company operating procedures & policy
  • Supporting Management on regular and ad hoc tasks in relation with purchasing related issues

Key Responsibilities:

  • Preparing and issuing request for quotation(RFQ) and purchase orders to suppliers in accordance with departmental and company operating procedures & policy
  • Responsible for the day to day running of the Procurement activities
  • Reviewing supplier’s quotation and making Sales Offer for the internal customers
  • Maintaining and updating of purchasing data on the system with accuracy
  • Maintaining and developing robust relationships with external suppliers, ensuring that they are meeting our requirements in all aspects
  • Maintaining and updating of billing data on the Global ERP system with accuracy
  • Looking for new supplier’s as well as alternative ones and bring them into line with the company’s operational procedures
  • Conduct research to ascertain the best products and suppliers in terms of best value, delivery schedules and quality
  • Build and maintain good relationships with new and existing suppliers
  • Process payments and invoices

Key Competencies/Characteristics

Essential Hard Skills:

  • A Graduate calibre - Business/Finance background preferred
  • A High level of computer literacy is essential
  • Total familiarity with MS word, Excel and Outlook is necessary.
  • Experience in ERP (SAP) system or any similar

Essential Soft Skills:

  • Excellent communication at all levels with international suppliers and internal customers (often with low level English speakers), networking and interpersonal skills
  • Excellent problem solving skills
  • Full training will be given but experience in a purchasing/commercial environment will be beneficial
  • Good numerical and analytical skills
  • High accuracy and attention to details
  • Able to work supervised and as a team in a cross functional working environments
  • Hard working and tenacious
  • Ability to multi task and effectively manage time and workload under pressure
  • Able to work in a multi- cultural office environment

Desirable Hard & Soft Skills:

  • Similar industry background Electronics/Sales
  • Similar industry experience as a buyer assistant
  • Within commutable distance
