The Company:

Our client is based in Bradford and with easy access from Leeds, Halifax, Brighouse and Huddersfield; they work in partnership with businesses of all sizes across the country and internationally. They help businesses develop their overseas presence with international trading by providing support and advice on trade procedures, they also offer relationship management and dispute resolution. They are now looking to recruit an ambitious and driven Personal Assistant to the Director to join their International team who will provide administration support to the International Trade Director; in return, they will provide you with an excellent training plan with ongoing support, this will include coaching, feedback and mentoring which will help you progress. This will be an exciting and challenging environment to work in.

Duties:

  • Preparation of weekly and monthly report and claims to aid in business and financial planning, which will include: Bi-weekly sales pipeline report, Monthly expenses, Monthly KPIs, Key Accounts
  • Making travel arrangements such as booking hotels, train tickets, arranging parking
  • Providing administration support including word processing, filing, photocopying & scanning, undertaking research, minute taking, typing up meeting notes and mailings
  • Updating key documents such as training plans and logs, organisational charts, skills and analysis
  • Preparing, organising and confirming all meetings 'on and off site’ - confirming attendance with partners and clients, liaising with suppliers, booking and setting up meeting rooms, producing agendas and preparing refreshments
  • Accompanying the Director to meetings and events and take notes
  • Taking and logging phone calls and messages and handling enquiries
  • Raising monthly purchase orders
  • Assisting with the annual budgets, KPI planning and financial re-forecasts
  • You will be provided training to become an 'authorised signatory’ for Certificates of Origin where you will be expected to determine origin, closely check and issue certificates under the 'Preference’ and 'Non- preference’ EU Rules of Origin
  • Carrying out specific projects
  • Pro-actively carrying out business development telephone calls as a team activity to build relationships with clients and generate new business opportunities (no hard targets, very small part of the position)
  • Create and maintain professional social media profiles

Experience Required:

  • Ideally a graduate with previous Personal Assistant experience, however strong administrators with diary management capability from a manufacturing export, import or logistics background will also be considered
  • International trade related qualifications would be advantageous but not essential

Personal Profile:

  • First-rate time management skills with the ability to organise and prioritise your workload
  • It is imperative that you are confident and have excellent communications skills, both verbal and written
  • Excellent attention to detail
  • Highly organised and very efficient
  • Excellent telephone manner and face to face communication skills
  • Strong IT skills including Microsoft Word, Excel and PowerPoint
  • Flexibility to work additional hours as and when required

  • Monday to Friday 9:00 am to 5:00 pm (1 hour for lunch)
