Office Administrator / Receptionist - Pharmaceutical / Healthcare

Our Client is an independently owned and operated company that works exclusively with clinical trial materials. The UK site provides secondary packaging (labeling and kitting) of any dosage form into plain packaging to ensure blinding of supplies for clinical trials, and storage and distribution of clinical materials for use in clinical trials. Their facility near Reading serves as the distribution hub for the packaged clinical trial materials to Europe and the rest of world.

They are now seeking an Office Administrator / Receptionist to join their dynamic team. This position is a full-time role for a fixed term contract (Maternity Cover) for 12 months and will report to the Operations Manager. It will be office based near Reading, Berkshire.

Job Purpose

This position is responsible for the day-to-day management of the office and assists the Operations Manager with daily organizational activities related to projects, clients and visitors. Also serves as receptionist to the company.

Key Areas of Responsibility

  • Professionally answers the phone and assists callers
  • Greets visitors and assists with enquiries
  • Coordinates and assists with client visitors, including lunch order and set up
  • Prepares and organizes visitor marketing materials & meeting agendas
  • Responsible for incoming mails and proper dissemination
  • Provides administrative supports for all departments (i.e. faxes, copies, scanning)
  • Assists with collecting office supply needs and placing/reconciling orders & manages the storage and dissemination of supplies
  • Undertakes audit of own work and report on possible areas of improvement
  • Assure control of documentation, including scanning, filing and archiving (manually and electronically) all pertinent documentation as related to Admin activities
  • Prepares invoices of office supplies and lunch orders for PO submission to Finance Department
  • Manage and maintain numerous spreadsheets in Excel and Access to track progress of required forms and lists
  • Oversee the updating and maintenance of supplier and client database as needed
  • Interact with clients during visits and/or audits
  • Other duties as assigned

In return our client is offering a basic salary of £20,000 - £22,000 per annum
