Merchandise Support Coordinator

Retailer in West London looking for a Merchandise Support Coordinator

Your new role
The aim of the role is to support local sales team for new merchant on boarding processes - MNA completion, affiliation contract signing and filing, starter pack delivery - and existing merchants requests follow up or dispatch - queries on Global Blue services and technical solutions, forms requests and collateral delivery.
Regular activities encompass:
* maintenance of Retailer Services inbox for processing merchants queries and field sales requests
* data cleaning and maintenance of MNA system
* supervision of internal processes (specific and projects-driven) to support wider sales team
* relationship with central teams (Admin in Vienna, DCC Ops in Gallarate,…) to insure procedures are correctly implemented throughout the organization
* supervision of two resources, which are responsible for:
o management of couriers and the stock provisioning for material and collaterals
o prompt reply to calls to solve issues in cooperation with local IT team, Bratislava processing team, or field sales team; and making sure the on boarding process is completed, for all new merchants

Main duties and responsibilities
o Organise the activities of the retailer services team
o Manage the retailer services inbox and maintain MNA system
o Maintain the local contracts and documents archives, both digital and physical
o Contracts signature process, with Managing Director
o MC requests process, with Managing Director and Admin Vienna Team
o Supervision of internal processes and procedures with timely feedbacks to stakeholders

Main KPIs
o Local contracts and documents archives up to date
o Streamline internal procedures for recurrent and ad hoc requests
o Ensure SLA are fulfilled on all requested processed by retailer services team
o MNA up to date with new and existing merchants details

Relates and cooperates mainly with
o Line manager
o Sellin and sellout teams
o Vienna Admin Team
o IT Department
o Bratislava Processing Team

What you'll need to succeed
Background and Education
o Experience in business support and back office management preferable

Specific skills and knowledge
o Basic knowledge of MS Office products
o Basic usage of CRM tools
o Problem solving attitude
o Ability to prioritise and involve relevant functions/teams
o Ability to follow identified processes
o Stick to deadlines
o Solid knowledge of TFS and DCC products (to be acquired)
o Positive attitude towards customers and colleagues
