For an IT literate and highly organised administrator this could be an excellent opportunity to develop your career in the City. Advanced MS Office applications, experience of Adobe InDesign and experience of content management systems, databases or CRM systems would be highly preferred.

Please note this is not an entry level marketing position, it is a role providing administrative and organisational support to an extremely busy but very friendly marketing team.

Duties:

To proactively manage team diaries and whereabouts.

Responding to telephone/email enquiries.

To deal with all incoming/outgoing mail.

To ensure that all filing is kept up to date and filing is carried out on a regular basis, and to reorganise files as and when appropriate.

To attend and assist with some meetings to ensure relevant actions and deadlines are captured, forward a copy of these actions and deadlines to the relevant Marketing team members and book diary reminders to ensure deadlines are met.

To source and liaise with suppliers to produce promotional items.

Set agenda for Marketing team meeting, facilitate meeting and circulate actions post meeting, holding team members accountable.

To take overall responsibility for maintaining adequate stocks of collateral.

To produce documents in the style and layout required by the Marketing team standards including proposals and other pitch material.

To work along Marketing Assistant to implement marketing processes. Ensure that all work is saved in the correct place on the server and/or is filed in a way that can be easily accessed by other team members.

To give support in the management of some of the firm's events, including production of seminar packs, creation and collation of feedback forms, creation of name badges, reviewing of PowerPoint presentations, liaising with internal suppliers and helping to meet and greet guests.

Proactively manage the Marketing team's events calendar avoiding clashes, excessively busy weeks and advising if any should occur.

Collate the Firm's wins and losses.

Develop ways to deliver reports in a more visually appearing manner.

Take responsibility for the management of client database, ensuring it remains up-to-date and is used effectively.

Provide support on the day of some events including helping set up, registering guests.
