Our client has a vacancy for an Executive Secretary to support the Directors and Executive Management Team to ensure tasks and responsibilities are completed in a timely manner.
You will need to have and display excellent, professional, working relationships at all levels and set a good example to all staff, visitors and contacts.
Previous experience working for someone at Director/Senior Manager level is essential, along with a high level of computer literacy, including a comprehensive understanding of Microsoft Outlook, Word, Excel, Access and PowerPoint. You must be able to efficiently and effectively prioritise tasks, possess excellent telephone manner and first class written communication skills. Candidates must be self-reliant/motivated and able to work on own initiative, whilst meeting varied and time specific deadlines along with a "Can do" attitude, willingness to develop new skills in accordance with business requirements. The ability to deal with sensitive information appropriately and show tact and discretion at all times is vital. A good standard of education/certification is required for this role.
The main responsibilities will include:
Work as part of a team ensuring the Executive Management Team are fully supported
Development and on-going management of administration based processes ensuring appropriate deadlines are managed and achieved
Prioritisation, preparation and handling of correspondence, reports, circulars, minutes
Management of pre/post Board level meeting requirements including diarising meetings, drafting and collating meeting packs, ensuring packs are reviewed by relevant EMT members, circulating packs
Minute taking at Executive/Board level meetings
Review and maintenance of Membership processes
Management of Executive email accounts
Diary management including arrangement of meetings, seminars, training and travel
