MAIN PURPOSE OF JOB:

To provide administrative support to the Bid & Commercial Support team across bids, proposals, frameworks and associated commercial activities

KEY RESPONSIBILITIES:

Provision of the team administration function to ensure that necessary reports, bid tracker and reporting are prepared and submitted on time
Working with team ensure that activity is recorded
Support the team in formulating the tender/proposal response structure and in ensuring a professional response presentation
Using, developing and enhancing existing templates as required
Completion and management of 'standard’ PQQ, RFI and equivalent questions
Support the co-ordination of inputs required from all parts of the business: Operations, HR, Finance, Compliance, IT etc.
Supporting bids, proposals and other projects in line with company guidelines
Support the Bid Writer to maintain a detailed library of previous and current projects
Support the production of post bid and company presentations
Managing bid collateral library, updating content where necessary
Support the maintenance of the 'Framework Updater’ to accurately record which Frameworks we are using
Support the establishment and subsequent maintenance of a Contract Database
Understand markets, including best practice, key competitors, governing legislation and key contracts
Communicate effectively with all key stakeholders and partners including colleagues, staff and customers in a
multi-directional process
Manage a positive presence within the team motivating self and others
To attend meetings and training as required
To ensure that policies, procedure and reporting systems are adhered too
Continually develop own knowledge and skills in line with departmental, organisational, market and customer requirements
Other tasks as may be required to support the effective operation of the team and the broader business

Essential Criteria

Previous experience or exposure to public sector tendering
Good written/oral communication in English and excellent organisational skills
Strong IT skills in Microsoft Office suite (in particular with high level of Word, PowerPoint and Excel proficiency)
Ability to use Microsoft Access and Visio
Excellent problem solving & analytical skills
Accuracy and attention to detail
Seeks opportunities to streamline and improve work processes and tender submissions
Able to gain cooperation from others and break down barriers (within the team and cross-functionally) to obtain information and accomplish goals
High sense of personal responsibility, committed, proactive, quick thinking and adaptable
Ability to manage challenging priorities and remain flexible and adaptable in times of change

Desirable

Previous experience working for a recruitment consultancy and/or exposure to NHS procurement
Experience in the Medical services sector
