Admissions Assistant

Our client has a vacancy for an Administrator. This is a 3 month, full-time temporary contract. You will need to have demonstrable experience of delivering a high level of customer service to a broad range of stakeholders.

The job

You will assist with handling enquiries, applications and supplementary documentation, including:

  • Filtering of new enquiries, applications and emails, ensuring they are allocated and prioritised to team members using previously agreed guidelines
  • Managing transition of online applications and matching to previous application records where appropriate
  • Providing appropriate advice to enquirers to support their application and to help enquirers choose the right course
  • Monitoring enquiries through to application, ensuring that any promised follow up is undertaken
  • Recording application data on the record system
  • Coordination of interview processes where used as part of the selection process
  • Ensuring applications are complete and valid and are processed within agreed timescales
  • Managing acceptances, declines, and deferrals
  • Support engagement activities


  • Experience of recording, storing and retrieving information using computerised and paper-based systems

  • Demonstrative ability to be proactive and to work methodically on a wide range of tasks on own initiative

  • Proven experience of working across a variety of functions to deliver an effective service

  • IT literate with good knowledge of Microsoft Office (including Word and Excel)

  • Extensive knowledge of using email and the internet for communicating and gathering information

  • Accuracy and attention to detail in data entry and in providing information

  • Able to absorb new information quickly

  • Able to research information using a variety of sources

  • Accuracy in use of oral and written English for answering queries in person, by telephone, and in writing, and composing emails and letters

  • Excellent interpersonal skills including politeness, diplomacy, tact and courtesy, as the role involves considerable contacts with others, both internal and external to the University

  • A confident telephone manner

  • Ability to work effectively under pressure and to demonstrate organisational and prioritisation skills in meeting multiple deadlines

  • Ability to work methodically and analytically

  • Ability to work accurately and with attention to detail

  • Ability to work with minimal supervision
