Location: Yate, Bristol (BS37 5NG)

Salary: £24K + (depending on experience)

Job Type: Full – Time, Permanent

Based in Yate, North Bristol, WH Bence is a manufacturer of specialist mobile facilities such as medical screening trailers and relocatables for Breast Screening, MRI, CT, Heart Catheterisation, Chemotherapy Clinics, Fire Appliances and Emergency Service Command Centres.

Technical Administrator – The Role:

We are looking for an office administrator to support the administrative needs of the expanding IT department. This position involves a variety of administrative and clerical tasks to ensure efficient operations on a day-to-day basis enabling engineering staff to focus on their core responsibilities.

Technical Administrator – Key Responsibilities:

- Specific duties and responsibilities of the administrator can vary depending on the departmental and organisational needs

- Handling incoming and outgoing communications, including emails, and phone calls (this may involve screening calls, responding to inquiries, and directing messages to the appropriate)

- Scheduling and organising departmental appointments, meetings, and travel arrangements, including coordinating calendars, booking flights and accommodations

- Drafting and editing documents, reports, presentations, and other business correspondence

- Responsible for formatting documents, proofreading, and ensuring they adhere to company standards

- Maintaining and organising electronic files, ensuring accuracy and confidentiality (this could involve updating contact lists, filing documents, and archiving records for future reference)

- Escalating complex problems to appropriate departments or supervisors for further assistance

- Maintaining accurate records of customer interactions and transactions

- Assist in the preparation of reports, presentations, and other documents by gathering and organising information as requested

- Perform general clerical duties, and data entry

- Assisting with meeting logistics, including preparing meeting rooms, distributing agendas, taking meeting minutes, and following up on action items

- Conducting research on behalf of managers, compiling information, and preparing summaries or reports

- Performing other associated administrative tasks to ensure the smooth operation of the department

- This role may include some expenses paid travel to international sites

Technical Administrator – You:

- Proficient in Microsoft Office

- Excellent communication skills, both written and verbal

- Excellent organisational skills, attention to detail, and the ability to multitask effectively

- Ability to work independently with minimal supervision and as part of a team

- Professional demeanour and customer service-oriented attitude
