Team Administrator, Group Communications
Part Time: 25 hours a week [9am to 3pm Monday to Friday]
Based: Leatherhead
Reports to: Director of Group Communications
Job Description
To provide administrative support to an energetic and busy marketing communications team of 10 people. Core duties include (but not limited to):
- Registering and tracking third-party supplier invoices and monitoring team budget
- Organising team meetings including booking rooms and organising refreshments
- Taking and circulating minutes from team meetings
- Printing and collating documents for meetings/briefings/presentations
- Arranging travel and accommodation for meetings and events
- Checking and monitoring various email accounts and fielding enquiries
- Manning phones and fielding calls
- Logging and managing team annual leave and absences
- Keeping email distribution lists up-to-date
- Provide administrative support for key events including company-wide Roadshow, Business Unit Briefings, Chairman's Awards, and Leadership events
- Assist in the distribution of marketing materials including the Annual Report and company credentials brochures
- Manage the inventory for marketing collateral / branded goods and action despatch requests
- Support Director of Group Communications as required, including information gathering, production of monthly reports and maintaining the Awards log
- Producing the weekly Comms planning grid, sharing with the team and distributing/filing
- Filing and ensuring shared drive is manageable and up to date
- Updating the events diary on our Sharepoint site
Essential skills
- Highly proficient in Office Word and Office Excel
- Excellent telephone manner
- GCSE-level English and Maths at grade C or above
- Friendly, efficient and enthusiastic
