Receptionist

Purpose:

To provide a comprehensive & professional reception service and administrative support service to the Directors, Managers and Financial Planners, with the aim of providing first class hospitality service & exceeding client expectations

Key Tasks:

*To answer calls and pass to the correct person
*To great clients & visitors by name in a professional, warm & friendly manner & ensure all relevant health & safety inductions are undertaken
*To ensure all meeting rooms are prepared before & after all meetings as set out in company procedures
*To keep all client areas clean, tidy & looking professional & welcoming
*To organise any repairs & maintenance to the building
*To undertake all weekly fire alarm tests & monthly health & safety checks & file all safety check certificates in the Health & safety folder
*To sort & scan incoming post and pass to the correct team/person & to frank outgoing post and ensure that it is ready for collection
*To scan inactive & unallocated client files to minimise all paper held for data protection & minimise storage areas required
*To check internal faxes and forward to the relevant people
*To organise birthday & sympathy cards as appropriate to clients
*To order all stationary & office supplies to ensure smooth running of the organisation
*To prepare packs for consultants, prior to client visits
*To Provide a comprehensive administrative support to the Practice Manager/Directors, Relationship Managers & Client Services team including data cleansing, spreadsheets, monthly checks, analysis etc
*To identify any training needs and development you need to meet the requirements of your role

Entry Level Requirements/Experience:

*Excellent Word, Excel and Outlook
*Excellent customer service skills (both internal & external)
*2 years relevant administrative experience
*Positive, Can Do' attitude
*Excellent attention to detail to presentation of premises
*Excellent written, verbal & interpersonal communication skills
*Willingness to participate in learning opportunities/events outside of usual work hours

This role reports to the Practice Manager
