In this fast paced role, you will be responsible for providing logistical, project and financial administration support to our clients Transformation Team allowing them to focus on managing change and supporting stakeholders.

You will be effective at planning and monitoring your work, be good at resolving conflicts and be able to work well under pressure.

This position is a great opportunity for someone who is keen to pursue a career in project management through developing present skills and learning new ones.

You will be working closely with the Director of Transformation and members of the Transformation Team. The post holder will initially report into the Director of Transformation.

Responsibilities will include:

Team Administration

  • Provide day to day administrative support to the Transformation Team
  • When required, set up meetings, record minutes and manage actions
  • Support the Transformation Managers in monitoring the progress on projects
  • You may also be required to undertake other assignments from time to time, depending on the needs of the project

Project Administration

  • Maintain relevant project data in various systems relating to resource, new opportunities, and project records
  • Develop and build Executive packs, dashboards and reports
  • Oversee the upkeep of project documents and ensure they are fit for use
  • Assist in the creation of Project Initiation documents for new projects
  • Organise and coordinate the PAB (Project Approval Board) from developing clear agendas, recording, and publishing minutes, managing actions, and maintaining the BoW (Book of Work)
  • Responsible for the administration of Project Plans and Roadmaps
  • Provide responses to ad hoc requests for information on projects

Financial Administration

  • Coordinating the teams input to project forecasting
  • Ensure clear benefits tracking across all change programmes
  • Assisting with project expense management
  • Working closely with the Transformation Finance Business Partner when required

General Responsibilities

  • Maintains their personal and professional development plans
  • Be willing and committed to take on new work as and when required and to be proactive.

CANDIDATE SPECIFICATION

Education and Experience

  • Preferred: Educated to A-Level standard (or equivalent)
  • Essential: Experience of working in a project environment as part of a PMO or transformation team
  • Preferred: Experience or knowledge of SDLC, COTS package deployments and business change
  • Preferred: Professional project management qualifications that will enhance the successful applicant's ability to fulfil the role
  • Preferred: Experience or knowledge of ITIL best practise

Personal skills/ qualities

  • Ability to multitask, working on several projects simultaneously and to agreed deadlines
  • Fast learner, able to adapt to changing, and challenging environments
  • Close attention to detail
  • Excellent communication skills, both verbal and written
  • Ability to work independently with minimal support, as well as within a team environment
  • Excellent organisation skills

Knowledge/ technical competencies

Essential

  • Proficient user of Microsoft Office (particularly Excel and Project)
  • Practical experience of working in a matrix, or project based, environment

Desirable

  • Experience of controlling project budgets
  • Knowledge of best practices and industry standards for project management including, but not limited to, Agile and Waterfall methodologies
