Project Executive - Marketing Agency

Our client based near Harrow are a very special type of marketing agency. They help to shape and implement prize promotions for major brands. It might be an on-pack offer for Walkers Crisps, a Text to Win campaign for Barclays Bank or an 'Enter the code on a website to win’ promotion for Kellogg’s. They ensure that the idea is run fairly and legally and set the legal foundations and then pick winners of prize draws, judge competitions or oversee the distribution of Willy Wonka style golden tickets.

Due to rapid expansion and success they now require an additional Project Executive to work as part of the busy Client Project Delivery Team.

Role Purpose

The post holder will provide a responsive and crucial function in the implementation of consumer promotions from researching and purchasing prizes, to handling data, selecting and contacting winners, and despatching their prizes.

  • Handles incoming phone calls from clients and winners

  • Communicates with client contacts via email, both inbound and outbound, proactively and reactively. Chasing client and suppliers to meet dates or re schedule if needed.

  • Handles project issues / problems through investigating and identifying probable causes. Applies remedial actions as agreed by Project Manager

  • Occasional attendance at client conference calls and meetings with Project Manager

  • Undertakes moderation and assessment of competition judging with minimal supervision.

  • Records all contact and process steps with winners via project specific winner tracking documentation / spreadsheets / databases

  • Populates project data reports

  • Researches prize options and buying them (features, timescales and costs) by phone and online

  • Creates draft purchase orders accurately and on time

  • Completes timesheets in real time and uses client proposals to ensure scope of work is understood and adhered to

Person Specification

  • Minimum A Level education

  • Minimum 1 year full time experience in a client servicing / sales or project support role

  • Can use MS Word, Excel, Outlook and PowerPoint with good keyboard skills

  • Good organisation and time management skills and Able to remain focussed on completing responsibilities despite distractions, pressures or changes

  • Customer / client focused, good attention to detail - provides and accurate and consistent information

  • Self-motivated and Team player

  • Commercial - awareness of costs

  • Driver with full UK License (ideal but not essential)

This is a full-time role working Monday to Friday 9am to 5.30pm

Salary £18,000 - £21,000 (depending on experience)
