Office Manager

Our client, a major global talent agency, is looking for an experienced Office Manager to support their busy Music office.

The main duties of this role include:

  • Being the first point of contact for all facility vendors
  • Managing the physical office space i.e. maintenance and supplies
  • Fire Marshall duties
  • Overseeing Health & Safety and Records Retention programs
  • Setting up for meetings including video conferences, scheduling and catering
  • Planning office social activities, holiday parties and summer outings
  • Supervising reception area and managing the mailroom
  • Registering staff for conferences, awards ceremonies, festival guest lists and other industry events
  • Updating the agency’s artists’ show lists and coverage lists, agent meeting notes and reminders weekly
  • Coordinating new hire onboarding and benefits orientation

The successful candidate will be an unflappable quick learner with:

  • Extensive experience in office management, facilities, project management or within a similar role
  • Excellent interpersonal skills and the ability to communicate effectively and professionally
  • Demonstrated customer service excellence
  • The ability to proactively anticipate departmental needs and follow through with solutions
  • Strong attention to detail
  • The ability to multi-task in a fast-paced environment, meet deadlines and adapt to changing priorities
