Our client based in Colindale are looking for an experienced administrator to join their thriving busy business, assisting with both the Sales and Lettings department.

The successful applicant will be a highly organised individual with a keen eye for detail and continuity. With the ability to multi-task and meet agreed deadlines when set.

Duties Include:

  • Uploading any new properties to Reapit and ensuring the marketing is correctly actioned
  • Update and refresh any properties on Reapit as per sales/lettings instructions
  • Window cards-remove, replace or update if details change or property is sold/let
  • Keys: recording and keeping up to date all key logs and usage on Repeat under the keys sections and ensuring all external contractors/third parties sing keys in and out in a key log. Audit to be done at the end of each day.
  • Adding paperless files to the Q Drive
  • Print out available property lists for sales/lettings for morning meeting and reference
  • Prepare valuation packs for Market Appraisals
  • Assist with targeted marketing through Spectre
  • EPC locating or ordering for every property marketed and adding to file
  • Instructing photos/floorplans/EPC’s for properties and arranging access where necessary

Sales and Lettings Instructions:

  • Ensure all pre instruction checks are completed on Reapit for all current instructions, new and old
  • Ensure access arrangements are up to date on Reapit
  • Cross check all Reapit calls are being made and entries made on Activity Feed
  • Check fee on Reapit against terms and conditions and query if different
  • When all photos/floorplans/EPC received for a new property begin marketing process and ensure relevant portals are enabled/disabled. Double check data, spelling and latitude/longitude coordinates
  • Check portals once uploaded and check property is uploaded correctly using full quota of premium listings and featured property
  • 2 weeks after launch, go back onto property and amend listing details (after checking with Manager). Update lettings properties if now vacant
  • Print out weekly marketing check and Clients to call for Managers to go through

Sales and Letting Process:

  • Registering applicants on Reapit
  • Processing all portal enquiries to negotiators
  • Ensure all applications for tenancy, offers received are logged correctly onto Reapit.
  • Add full details of the tenancy(start date, end date, rent, deposit amount, tenant, occupier (if different) and guarantor where necessary
  • Carry out money laundering checks through the Company’s agreed procedure or Right to Rent checks
  • Draw up tenancy agreements, requests for payment and offer letters
  • Sending off and ensuring safe receipt of documents
  • Receipting all tenancy monies/reservation deposits and advising accounts
  • Sales progression-assisting with chasing conveyancers/purchasers/clients
  • Completing lettings file checklist

Office General:

  • Assisting keeping office tidy and presentable at all times
  • Liaising if any cleaning issues within the office & instructing cleaners accordingly
  • Monitoring and ordering stationery supplies
  • Assisting with any maintenance issues within the office
