Our client is a boutique law firm specialising in sport, fashion and media, based in South West London. The office environment is hard working yet friendly and fun. They have high profile clients and therefore confidentiality is key for the right candidate.

This role is hugely important for the firm as first impressions count and will need to ensure that all visitors to the firm are dealt with in a professional yet friendly manner. This person will need to be a proactive, self-starter who is happy to take assist with any matter of request being the first port of call to visitors and staff. This role is also pivotal for the team as a whole so we are looking for someone who has a sunny and fun character but also has the ability to keep a calm head and be flexible during busy periods.

Duties include, but are not limited to:

Administration / PA duties:

  • Managing diaries for Partners (6)
  • Ad hoc personal tasks, including booking venues/lunches/meetings/flights/hotels
  • Document support - creating and managing client documentation, including amendments, formatting and proof-reading
  • Printing, scanning and sending files off to archive
  • Preparing and sending out post and correspondence

Reception:


Front of house based role - duties to include:

  • Answering and filtering phone calls, taking messages
  • Meeting and greeting clients, making refreshments for visitors and setting up/tidying meeting rooms
  • Signing for post/deliveries, opening and distributing post and taking special deliveries to the post office
  • Booking parking spaces and couriers

Office Management / Operations:

  • Helping to maintain a tidy and pleasant workplace
  • Liaising with employees to provide high quality support on all aspects of technology and phones, including acting as the interface with our service providers
  • Troubleshooting and assisting with day to day IT/ desktop and mobile phones / phones issues as and when they arise liaising with our outsourced support to reach successful solutions
  • Working with IT support to set up new joiners and work experience with PC/mobile phones/tablets - updating existing models

Reporting to:

Practice Manager

Hours:

Monday to Friday - 09:00 a.m. to 6:00 p.m. with a one-hour lunch break

Key Skills & Experience:

  • Advanced ability in Word, Excel and Outlook
  • Professional, proactive, friendly and positive attitude
  • High level of attention to detail and ability to adapt to a changing and evolving role
  • Ability to work under pressure and maintain confidentiality on all matters
  • Previous experience in receptionist/secretary/PA role in a law firm
