This position is responsible for providing administrative support within the HR and Finance team which ensures the smooth running and reporting of the administrative areas that support the employees and the operations of the UK business as a whole. Your professionalism, integrity and ability to deal effectively with confidential information are of the highest importance.

Responsibilities;

Finance

  • Manage the expense system
  • Be the Expenses system super user
  • Set up new users, support users, be the contact person with helpdesketc.
  • Monitor expenses, ensure the expenses are sent in and approved on time
  • Generate monthly reports from System, cost / follow-up per person, ensure sign off from line manager
  • Reporting of taxable expenses for PSA reporting to HMRC
  • Manage employees credit cards
  • Open the post and collect invoices
  • Scan invoices to the authorisations system
  • Code invoices in system
  • Be the system super user, educating employees, support and be the contact with help desk
  • Investigate invoices and payments and contact vendors if needed
  • In some cases, analyse costs and negotiate costs and set-up with vendors
  • Be the contact person with external finance administrators regarding costs, invoices etc.
  • Support Finance Manager in forecasting office costs
  • Payments queries
  • Reporting; mainly staff and expenses costs
  • Support the finance team with Customer blocked orders

HR

  • Manage employee leasing cars, including insurances maintenance agreements & speeding notifications
  • Collating payroll changes for monthly payroll
  • Adhering to appropriate Payroll forms i.e. P45P35 New starter checklist
  • Submitting monthly payroll
  • Processing new starters / leavers / promotions / transfers
  • Process maternity/paternity leave/Sick leave
  • Updating internal system Workday
  • Updating Company Organisation Charts
  • Maintaining Online Files
  • Improving processes
  • Dealing with daily queries
  • Creating Visa letters
  • Creating Visa letters
  • Charity Champion
  • Support with company benefits and Pension administration and coordination
