Axi Recruitment is delighted to be working with an established business in the Immingham area for an Executive Assistant to join the company, to support the Senior Leadership Team at the organisation’s head office.

The role of Executive Assistant will involve managing the SLT’s professional and personal schedules including office correspondence, meeting agendas, travel arrangements, social media, and corporate events.

The Role:

  • Manage the diaries and schedules of the senior team, including incoming and outgoing post, email inboxes, and telephone correspondence
  • Prepare meeting agendas and conduct research, and take meeting minutes
  • Book business travel, including flights, transportation, and lodgings for senior management and other staff
  • Maintain office correspondence, including franking and receiving post, drafting emails, and maintaining social media accounts
  • Perform reception duties as necessary and provide support to the Company Secretary
  • Communicate with Board members, and schedule Board meetings
  • Organise media appearances and events
  • Maintain electronic and paper filing systems, ensuring processes and software are up to date and in working order
  • Prepare and deliver monthly reports, including expense reports for senior management, and prepare presentations
  • Organise team communications and plan events, both on- and off-site

The Person:

  • Experience in a secretarial or senior administrative role
  • Demonstratable working knowledge of UK Corporate Governance Code and UK Companies Act
  • Effective communication with excellent interpersonal skills and experience of Board-level interaction
  • Strong organisational skills with the ability to manage multiple tasks and prioritise accordingly
  • Attention to detail with excellent verbal and written communication skills
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees
  • Critical thinking and problem-solving skills
