Independent Retail Fuels Admin

Salary - Up to £23,500

Summary of Role:

As an Independent Retail Support Administrator, you play a pivotal role in ensuring the seamless functioning of the Independent Retail (Fuels) team. Your main responsibility is to provide comprehensive administrative support to facilitate efficient processes and clear communication with stakeholders.

Key Responsibilities:

  • Manage Daily, Weekly, and Monthly Tasks: Efficiently execute daily, weekly, and monthly tasks while also addressing ad hoc administrative duties as they arise. Serve as a primary point of contact for issue resolution, maintaining clear communication with Esso, client dealers, and internal team members.
  • Support Territory Managers: Provide vital administrative assistance to ensure compliance with fuels contracts.
  • Assist Customers and Dealers: Aid customers and dealers with manual voucher or disputed fuel card transactions, promptly responding to data requests with precision.
  • Maintain CRM Systems: Oversee Customer Relationship Management (CRM) tools like Salesforce, along with other databases, to uphold data integrity and accessibility.
  • Update Price Modifiers: Input updated rates into relevant systems (CSO/RTFO/RPI/DRTFO), ensuring accuracy and coordinating fuels pricing checks with the Pricing Team.
  • Generate Stewardship Reports: Produce and distribute various reports to contribute to informed decision-making processes within the business.
  • Manage Invoices: Supervise a small number of payable and receivable transactions for third-party suppliers, including rebate checks and service invoicing.
  • Drive Continuous Improvement: Proactively identify opportunities for service enhancement and process optimization, leveraging feedback from dealers and team members.

Competencies and Requirements:

  • Problem-Solving Skills: Quickly identify and resolve issues, adeptly communicating complex matters in straightforward terms.
  • Process Knowledge: Preferably possess an understanding of relevant operations and processes, encompassing fuel cards, bank cards, contracting processes, and marketing and brand requirements.
  • IT Systems Proficiency: Demonstrate proficiency with all pertinent IT systems to ensure efficient data management.
  • Communication Skills: Exhibit strong interpersonal skills to establish relationships rapidly and communicate effectively at all levels, both internally and externally.
  • Flexibility and Adaptability: Willingness to adapt to changing priorities and actively contribute to the team's overarching goals.
  • Travel: Available for occasional travel as required to fulfill job responsibilities.
