Construction & Design Administrator

A world well known property development company based in city, London is seeking an experienced Administrator to provide support to Construction & Design Department in managing company’s project successfully.

The main duties for this role

  • Supporting the Construction & Design department to draws up plan for how to achieve each stage of the project including agree timescales, costs and resources needed;
  • Supporting the Construction & Design department to ensure each stage of the project is progressing on time, on budget, with the right quality standards and all legal requirements are met;
  • Working with other departments in completing annual project budget plan;
  • Preparing and reviewing operational and financial reports for the Construction & Design Department;
  • Assisting the Construction & Design department to brief project team, contractors and suppliers;
  • Working with other departments to assemble information for invoicing;
  • Supporting the company in managing project completion and assisting the customer care team in handing over;
  • Liaising with Headquarters in China and producing project program report monthly, quarterly and annually;
  • Translating the document in English and Chinese as required;
  • Recruiting and managing staff for the Construction & Design Department;
  • Also, Managing diary and schedule meetings and appointments for the Construction & Design and the team;
  • Administrating document and filing for the department;
  • Attending meeting and taking minutes;
  • Professionally handling requests and queries;
  • Liaising with internal and external clients;
  • Closing out all Health & Safety issues internally;
  • Booking all site staff onto relevant training courses

The successful applicant will have

  • Proven working experience as an Administrator at property construction / design environment;
  • The role will involve project budget planning, having some finance knowledge and background will be ideal, but not necessary;
  • Outstanding organisational and time management skills;
  • Ability to multi-task and prioritise daily workload;
  • Excellent verbal and written communications skills;
  • Discretion and confidentiality;
  • Be an effective team player and have the ability to communicate clear and concise instructions;
  • Office management skills;
  • MS office proficiency;
  • Speaking English and Chinese.
