Collections Documentation Assistant

We have a new opportunity for a Collections Documentation Assistant to join our Consultancy team in the South West region. In this role, you’ll provide administrative support to help deliver a major national collections documentation project. This is an excellent entry grade post for anyone looking to explore a career in collections management, offering experience of working alongside our expert regional team of Registrars and Conservators.

You'll be based out of the Bodmin Consultancy Hub.

What you'll be doing

Your role will play a vital part in a major project to capture all historic collections conservation records on the Trust’s Collections Management System (CMS). Your primary task will be to identify, scan and securely file all relevant paper documents for the SW collections, including condition, treatment and advisory reports. This will involve investigating multiple archive sites in the regional and property offices.

You'll form part of the SW Consultancy team, reporting directly to the Collections Registrar, supported by our regional Conservator and Project Collections Conservation Documentation Officer - all based at Bodmin.

Who we're looking for

Training will be given for this role, but to be successful you'll need to have/be:

  • Awareness and understanding of the core purpose and work of the National Trust
  • Awareness and understanding of the role of volunteers in the Trust, including being able to support volunteers to perform at their best
  • Highly literate with ability to work with data and reports
  • Able to work methodically, accurately and with attention to detail
  • Confident IT skills (Microsoft Office)
  • Good team player with well-developed interpersonal skills
  • Self-motivated with good organisational and time management skills
  • Flexible customer-focused approach, able to multi-task, prioritise own workload, and maintain confidentiality
  • Some experience of working in a museum, archive or collections management environment
  • Previous experience of collating and sorting large quantities of information and working with databases
  • Previous experience of working on projects and to deadlines
