Overview:

An excellent opportunity has arisen for a financial planning administrator to work in a growing team. Our client is looking for an experienced IFA Administrator who prides themselves on the ability to support our financial advisors, liaise with providers and third parties. You will be part of a fast-paced team who provide full end to end administrative support to a bank of clients ensuring they always receive a high level of service.

  • Monday - Friday, 9am - 5pm

Job specification:

  • Reporting to the Administration Manager or equivalent
  • Opening and distributing the Post and dealing with outgoing post
  • Triaging the Info Mailbox / Admin Submissions mailbox
  • Update and maintain IO & VC, maintaining client files and keeping them compliant.
  • Build relationships with the clients, respond promptly to all queries by post/email & Phone
  • Providing support to the advisers including booking meetings and ensuring that they have everything required.
  • Action File Notes - understanding what documentation required & adding reports / workflows to IO is
  • Processing and managing letters of authorities
  • Preparation of client valuations, ensuring accuracy and attention to detail
  • Updating advisers and clients regularly to meet expectations
  • Preparing simple recommendation reports, including any applications and additional documentation
  • Process new and existing simple business
  • Liaise with other professionals such as accountants, solicitors and product providers
  • Answering phone calls and passing on messages to the Admin and Advisers
  • Assisting with booking annual reviews with clients
  • Preparing client and adviser packs for annual reviews and ad-hoc meetings
  • Processing Rebalances, switches and cash replenishment business resulting from Annual Review meetings, quarterly switch project or ad-hoc instructions
  • Processing of completed Attitude to Risk Questionnaires, recording and filing as appropriate.
  • Meeting Quality standards
  • Peer checking colleagues dealing where you are competent on a platform
  • Assisting clients with complex queries, understanding where a meeting is required.
  • Preparing more complex recommendation reports, including any applications and additional documentation (Bonds/Trusts - opening, withdrawals, transfers)
  • Process new and existing complex business (Bonds/Trusts - opening, withdrawals, transfers)
  • Meeting clients in the office to assist with forms
  • Provide training/buddying support to Trainees
  • Make suggestions on procedural change to increase efficiency/cost effectiveness
  • Assist with Project work where asked
  • Building of relevant fund portfolios
  • Preparation of invoices
  • Undertake appropriate professional development and continued training

Person specification:

  • Time management
  • Organisation and prioritisation
  • Attention to detail
  • Experience working in an administrative capacity
  • Excellent verbal communication skills - telephone and written word
  • Confident using all programmes such as Word, Excel and Outlook
