Who you'll be working for:
Our client is a niche player within the business travel with office based in the West London. They are currently seeking an individual to work in a varied HR and administration role to support managers across three UK-based branches. Successful candidate should have conversational Japanese language level, and has knowledge of Japanese business culture.
What you'll be doing each day:
To provide administrative and HR support to internal staff and managers across three UK branches.
HR Function:
· Be the first point of contact for HR enquiries (issues, disputes, pensions etc);
· Manage the recruitment process including liaison with recruitment agencies, scheduling and conducting interviews, issuing relevant correspondence;
· Issue HR-related documentation, such as contracts of employment and offer letters;
· Keep personnel and annual leave files up-to-date;
· Ensure UKVI sponsorship responsibilities are fulfilled (record keeping, passport checks);
· Induct new staff and coordinate training as necessary;
· Ensure Employee Handbook and HR policies are kept up to date;
· Liaise with the HR consultancy company as appropriate;
· Administer the rewards scheme (childcare vouchers, health insurance);
· Support Japanese expatriate staff as necessary;
· Communicate with and support staff on maternity leave.
Administration and Facilities Management:
· Renew travel agency licences, bonds and company insurance;
· Picking up client's phone calls
· Join client meetings to support managers as necessary;
· Check the wording of contracts and service level agreements;
· Produce monthly sales and travel reports;
· File company documents securely;
· Draft and send standard letters and emails;
· Liaise with IT support company and software suppliers on IT issues;
· Liaise with landlord and external suppliers on facilities issues;
· Monitor stock of office supplies (stationery, water, etc) and order as appropriate;
· Deal with post and deliveries;
· Organise recycling of paper and other waste.
· Responsible for Pension Scheme and GDPR
Accounting Responsibilities:
· Payment transaction from clients using Dolphin System
