Role Purpose

Supporting the Repairs Service with the scheduling of appointments for repairs work over a period of days to weeks to ensure that mobile workforce resources are used efficiently

Providing a high quality, customer focused administrative service within the repair’s operations, liaising with subcontractors and workforce across multiple trade disciplines.

Main Responsibilities

  1. To comply with all regulatory guidelines e.g. Financial and audit regulations, Homes for Haringey standing orders, in ordering and processing repairs
  2. Take full responsibility for the efficient administration of the mobile workforce scheduling system
  3. Work effectively and efficiently and liaise with residents and operatives to make sure that repairs are scheduled and attended to within time
  4. Maintain accurate records and provide reports from various digital systems relating to all aspects of the work areas as required.
  5. Prepare reports when requested utilizing Microsoft suite of applications as required.
  6. To ensure that the Operatives communicate in a timely and accurate manner about the progress of work, in order to schedule their work in view of resident’s requirements.
  7. To re-schedule jobs in the event of an unplanned absence of an Operative, and to contact the resident directly to agree any changes.
  8. To communicate any changes / updates directly with the effected resident and the Operative.
  9. To communicate with Supervisors/Manager about matters of work quality, timeliness and potential HR issues concerning the operatives.
  10. To provide support to colleagues, customers and the business, in order to continuously improve operational effectiveness.
  11. To operate professionally both as an individual and as a team member for the benefit of the customer at all times, contributing ideas, suggestions and feedback to managers, ensuring quality standards is maintained.
  12. To manage the activities of operatives to ensure that they keep their appointments.
  13. To undertake all of the above duties on a regular basis and undertake periodic supervision, to provide continuity of service wherever possible, to assist in the oversight, guidance and training of other staff.
  14. Flexibility to work within the overall scope repairs team requirements, based on service demand and staffing requirements.

Knowledge, Qualifications, Skills and Experience

Experience of working within a repairs and maintenance environment

Knowledge of local authority and or social housing repairs operations

Experience and knowledge of dynamic scheduling and or system generated appointment scheduling

Excellent communication and interpersonal skills, demonstrating empathy and understanding.

Ability to plan, organise and prioritise

Seeking, gathering and correct interpreting information from a range of sources to inform decision making

Working constructively to build relationships with others including those outside of own team to achieve objectives
