Our client has a history going back to the late 1800s when they were established in the City of London. They opened their first overseas office in the 1970s and now have offices in ten locations across the globe. With over 500 lawyers worldwide, they are a dynamic, commercial firm and leaders in their specialist business areas.

They are looking for a Senior eBilling Controller is responsible for the efficient operation of the eBilling function. They will have a detailed knowledge of a broad range of legal eBilling platforms and will use this knowledge to ensure that eBilling platform requirements are complied with. In addition to supporting 15 global Revenue Controllers/Managers and PAs with uploading of eBills, they will help resolve any eBilling related issues and will monitor the status of eBills across the firm.

Responsibilities

  • Oversee all aspects of the eBilling function including onboarding to the clients' eBilling platform, ensuring that eBills are promptly uploaded and that queries are dealt with efficiently.
  • Liaise with matter teams, clients and third-party vendors to implement new eBilling platforms and ensure Elite 3E is configured correctly (i.e. correct rates, task/activity codes, timekeeper ranks, billing rules, etc) before billing takes place.
  • Monitor the eBilling Mailbox and ensure that queries are dealt with swiftly.
  • Manage the Electronic Billing Hub (EBH) system and support the rollout to the global team, providing training as needed.
  • Test the EBH to ensure smooth transition after any necessary maintenance updates.
  • Populate, maintain and update data for assigned clients on the various eBilling platforms (or the clients' external web applications). Ensure all relevant information is updated in Elite 3E.
  • Monitor the EBH rejected invoices to ensure a timely re-submission.
  • Liaise with Revenue Controllers and PAs on the re-submission of invoices to ensure any corrective action has taken place.
  • Escalate issues to the Revenue Manager, Head of Credit Control or matter Partner promptly.
  • Ensure compliance with internal eBilling policies and maintain these policy documents and other eBilling related documentation. Ensure the firm's eBilling section on the intranet is kept up-to-date.
  • Proactively meet with Partners, fee earners and key client service teams to discuss on-going eBilling issues and suggest solutions.
  • Provide training to the Revenue Controllers and PAs on how to use eBilling platforms.
  • Attend meetings with eBilling clients to discuss ongoing issues and work together to come up with solutions to make the billing and uploading process more efficient.
  • Regular reporting of eBilling activity levels and the status of eBills.
  • Support initiatives to improve the eBilling processes.

Candidate Profile

  • Revenue control experience (a minimum of 2 years) gained within a legal partnership or LLP environment is essential.
  • At least 5 years' experience using web-based eBilling systems and vendors.
  • Strong working knowledge of various LEDES files.
  • Strong IT skills, with exposure to Excel and a practice management system, ideally Elite 3E.
  • Excellent written and communication skills.
  • Excellent interpersonal skills, with the ability to build strong working relationships at all levels, tactful and diplomatic in pressurised situations.
  • Intellectual credibility and confidence to communicate effectively with staff and clients, providing collaborative support and constructive challenge as appropriate.
  • Highly client focused.
  • Flexible with regards to working hours.
  • Knowledge of the Solicitor's Accounts Rules.
