Hayley Group Limited has an exciting opportunity for a RFQ / Bids & Tenders Manager to join our well-established and experienced Rail team based at our Oldbury branch. You will join us on a full time, permanent basis and in return, you will receive a competitive salary.

About the role:

As our RFQ / Bids & Tenders Manager, your primary responsibility will be to manage and coordinate the entire process of responding to requests for quotations (RFQs), bids, and tenders. You will play a crucial role in securing new business opportunities for the company by sourcing, preparing and presenting compelling proposals that meet the requirements of existing and new customers.

Working hours: 40 hours per week Monday to Friday.

Key responsibilities as our RFQ / Bids & Tenders Manager will include:

  • RFQ/Bid/Tender Management: Oversee the end-to-end process of RFQs, bids, and tenders, ensuring adherence to deadlines, requirements, and company guidelines.
  • Proposal Preparation: Collaborate with cross-functional teams, including sales, engineering, procurement, and finance, to gather necessary information and develop comprehensive and competitive proposals.
  • Requirement Analysis: Evaluate RFQs, bids, and tenders to understand customer needs, technical specifications, and project scope, ensuring accurate interpretation of requirements.
  • Content Development: Create persuasive and well-structured proposals, incorporating technical details, pricing, delivery schedules, and other relevant information, tailored to the specific customer and project.
  • Compliance and Documentation: Ensure compliance with all legal and regulatory requirements, as well as customer-specific guidelines, while maintaining accurate and up-to-date records of all bid-related documents.
  • Vendor Selection: Collaborate with procurement teams to identify and evaluate potential suppliers or subcontractors, ensuring their capabilities align with project requirements.
  • Stakeholder Engagement: Coordinate with internal and external stakeholders, to gather necessary inputs, resolve queries, and ensure smooth collaboration throughout the bidding process.
  • Market Research: Stay updated on industry trends, competitor activities, and market developments, identifying potential opportunities for business growth and improvement in bidding strategies.
  • Performance Analysis: Conduct post-bid analysis to evaluate the success of proposals and identify areas for improvement, implementing lessons learned in future bid submissions.
  • Continuous Improvement: Develop and implement standardised processes, templates, and best practices for bid management to enhance efficiency and effectiveness.

Skills & Attributes we're looking for in our RFQ / Bids & Tenders Manager:

  • Proven experience in managing RFQs, bids, and tenders in the engineering or industrial sector.
  • Strong understanding of MRO, Engineering Consumables and related service models.
  • Excellent written and verbal communication skills, with the ability to articulate technical concepts clearly and persuasively.
  • Exceptional organisational and project management abilities, with a keen eye for detail and the ability to handle multiple priorities.
  • Analytical mindset and strong problem-solving skills to interpret complex requirements and develop innovative solutions.
  • Proficiency in using bid management software/tools and Microsoft Office Suite.
  • Familiarity with procurement processes and commercial contracts.
  • Ability to work collaboratively with cross-functional teams and build relationships with internal and external stakeholders.
  • Strong commercial acumen and understanding of pricing strategies.
  • Knowledge of UK bidding regulations and standards.
