Personal Assistant required for a returning client of mine.

Job Type: 12 - 18 month fixed term contract
Location: Staines
Salary: £40,000 - £42,000 

I am recruiting for a highly organised and proactive Personal Assistant to provide comprehensive support to my clients Chief Executive, Finance and Corporate Services Director, Operations Director, and Chairman. The role also involves coordinating all health and safety activities for the Finance and Corporate Services Director. This position is pivotal in ensuring smooth and efficient management of executive schedules and communications.

Day to day of the role:

  • Act as the first point of contact for external callers and contacts for the Chief Executive, managing all telephone contacts and monitoring emails.
  • Maintain the Chairman’s and Chief Executive’s diaries, ensuring their availability and accessibility are known.
  • Maintain an efficient electronic document filing system for the Chief Executive.
  • Handle the opening, sorting, and allocation of post for appropriate action.
  • Arrange travel and accommodation for the Chief Executive as required.
  • Organise internal and external meetings and appointments, including coordination of dates, confirmation of meetings, and arrangement of facilities; occasionally take minutes to ensure meetings run smoothly.
  • Distribute meeting, committee, and consultation papers within set deadlines.
  • Assist with minute-taking at Board meetings and health and safety committee meetings.
  • Process non-executive invoices in a timely manner.
  • Manage the weekly Executive Movement Sheet for the Chief Executive.
  • Perform word processing tasks, including audio, to complete correspondence and reports.
  • Provide ad-hoc support to the Chairman and other Directors.
  • Assist with the creation of PowerPoint presentations.
  • Maintain health and safety documentation, including driving records and risk assessments.
  • Conduct health and safety inductions for new starters and process incident and expectant mother forms.

Required Skills & Qualifications:

  • Proven experience as a Personal Assistant or similar role.
  • Excellent organisational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite, including PowerPoint.
  • Experience in handling confidential information with discretion.
  • Ability to prioritise tasks and manage a varied workload.
  • Experience in minute-taking and health and safety administration is desirable.

Salary: £40,000 - £42,000 

Hours of work: Monday to Friday role - 37.5 hours a week, with a hybrid model.
