Are you looking to leverage your administration skills in the exciting world of gastronomy and events? If so, we have an exciting opportunity to join our 50 Best team as an Operations Assistant. Reporting to the Group Operations Manager, you’ll be responsible for orchestrating a range of tasks vital to our operations.

50 Best is the global leader in premium gastronomic awards events, widely recognized as the leading innovator within our field. Our brand portfolio now includes The World’s 50 Best Hotels, The World’s 50 Best Restaurants, Asia’s 50 Best Restaurants, Latin America’s 50 Best Restaurants, 50 Best Discovery, as well as The World’s 50 Best Bars and Asia’s 50 Best Bars.

Since the list was created in 2000, we’ve hosted event programmes across the globe, to name a few: Thailand, Australia, Spain, Singapore, France, Colombia, Peru and America.

What you’ll be doing:

  • Raising purchase orders, logging invoices, and setting up suppliers using the in-house finance system.
  • Guest list coordination including sending invites and tickets, logging RSVP’s.
  • Coordinating travel and accommodation for internal staff and key stakeholders.
  • Coordinating the voting process across the 50 Best portfolio.
  • Communicating with and organise the voting academy.
  • Coordinating international deliveries/shipment of kit to event locations.
  • Supporting with the coordination and ordering of merchandise and stationary..
  • Setting up and attending internal meetings, taking detailed minutes and actions from meetings.
  • Using templates already created to set up documents and folders such as: critical paths, annual calendars, run of events, WIP sheets, schedules and detailed operation manuals.
  • Managing the 50 Best inbox. Making sure all emails in this inbox are dealt with daily.
  • Keeping the annual calendar updated and ensuring key dates and event schedules are added to the internal teams outlook calendars.
Requirements
  • Excellent organisation and prioritisation skills to effectively manage multiple competing deadlines.
  • Strong written and verbal communication skills
  • Administration experience in a fast paced and complex environment
  • Good understanding of Microsoft applications such as Excel, PowerPoint, Outlook and Word.
  • Strong attention to detail
