A well-known Japanese culture hub based in London is currently looking for full-time HR Advisor to join their team. The role will be 40 hours per week from Monday to Friday with the potential for hybrid/flexible working conditions. The ideal person will be a HR professional who can act as a highly-visible first point of contact for a diverse team.

*Fixed term up until end March 2029 (with possibility of renewal!)*

HR Advisor Key Responsibilities:

Recruitment & Onboarding:

Maintain the jobs page on the website, ensuring accuracy of recruitment postings and relevant content about working at the company
Proactive in finding cost-effective recruitment advertising opportunities for the company, in particular for front of house positions
Monitor performance of job boards and agencies for all vacancies and be proactive in finding improvements and efficiencies
Ensure all hiring managers and team members involved in recruitment processes are trained on DE&I best practices and compliance with the Equality Act 2010
Onboard new joiners, complete background checks and collect necessary documents for our HR records and payroll to provide a seamless start to the organisation
Organise induction sessions and welcome new joiners across the organisation
Monitor our onboarding survey and report on trends and feedback to line managers and teams
Keep our Employee Handbook and onboarding documentation up to date to contains all the latest information about our culture and internal activities
Stay up to date with developments in recruitment approaches to ensure the company is seen as an employer of choice in our industry and our commitment to DE&I is upheld across the organisation

HR Operations:

Act as first point of contact to employees on various HR-related topics such as annual leave, sickness, payroll, development and performance, and resolve or escalate any issues that may arise to our external HR advisors as appropriate
Maintain and promote our HR policies, ensuring information is clear and easy to find
Maintain employee files and records in our HRIS with support from our external HR provider
Maintain a detailed approach to HR record keeping and make sure our platforms are up to date, so that all employee data is accurate and in the right place
Support with employee wellbeing programmes such as DSE assessments, mental health awareness and financial wellbeing tools.
Conduct exit surveys and interviews and report on findings to line managers.
Communicate regular updates on people changes and activities via internal communications channels

Payroll & Benefits Administration:

Collate and check data from front of house teams for the monthly payroll cycle
Collate monthly payroll reports for processing by our external provider
Resolve queries following payroll each month and coordinate between our payroll provider (external) and Finance team
Collect usage data on company benefits and make suggestions about how to improve uptake or enhance our offering, supported by research
Answer queries relating to pensions auto-enrolment, ensuring compliance with pensions regulations

Performance & Development:

Organise and support the delivery of the company performance development and review process (currently done via Culture Amp)
Monitor the participation of teams in Culture Amp and encourage take-up of tools by line managers as appropriate to each team
Stay up to date with developments on the Culture Amp platform. Be proactive in suggesting improvements to company performance processes to ensure a 'light-touch’ approach for line managers.
Facilitate online and in-person training sessions on Culture Amp throughout the performance cycle
Answer queries from employees across the company relating to personal development plans
Support the design of Front of House training programmes, collating existing materials and proactively suggesting improvements
Monitor the take-up of learning resources on our learning platform and respond to feedback from staff on learning needs
Organise learning events to enable team members to spend learning budgets on relevant resources that align with the company’s’ strategic aims

General HR:

Act as first point of contact for certain Employee Relations issues (where appropriate) and provide coaching to line managers throughout the process. Escalate issues to our external HR advisors or Head of HR as needed
Stay up to date with the latest news and HR regulations, and maintain an interest in progressive HR and employee experience initiatives
Support the annual employee engagement survey, and identify other opportunities to collect feedback from our staff and drive engagement
Support the Head of HR and Executive Management Committee (EMC) on initiatives to maintain employee engagement and enhance our company culture
Champion values of Integrity, Cultivation, Openness, Shared Passion and Omotenashi across all areas of the organisation

HR Advisor Ideal Candidate:
Essential:
Around 3+ years’ experience in a varied, HR generalist role
Qualified to at least CIPD Level3 standard, or working towards a Level 5 qualification
Previous experience working in an SME, ideally in an arts, hospitality, or retail organisation
Confident with UK employment regulations and knowledgeable about best practice approaches to people management
Experience working with an ATS and recruitment via social media such as LinkedIn
Confident in learning digital tools
High attention to detail and diligence in record keeping
Ability to analyse data in Excel and maintain accurate records
Desirable:
Experience working cross-culturally, preferably in a language other than English
Knowledge of Culture Amp or a comparable survey platform
Working knowledge of Personio HRIS
