Role details - Executive Assistant

We are currently looking for a proactive Executive Assistant to support senior managers at an excellent business on a permanent basis.

You will be responsible for providing executive level PA support to senior managers to ensure utmost productivity and smooth operations. As the Executive Assistant, you will plan, organise, deliver and coordinate activities to ensure the most effective, high-quality support is offered, managing, resolving and pre-empting issues proactively.

Executive Assistant - What will you be doing?

  • Calendar Management: Coordinate and manage complex schedules, including arranging meetings, appointments, and travel itineraries for executives.
  • Communication: Serve as the primary point of contact for internal and external communications, including screening calls, managing emails, and drafting correspondence on behalf of executives.
  • Information Management: Organise and maintain confidential files, documents, and records, ensuring easy access and retrieval when needed.
  • Meeting Support: Prepare agendas, take minutes, and follow up on action items for meetings attended by executives.
  • Project Coordination: Assist in coordinating and tracking various projects and initiatives, ensuring deadlines are met and progress is communicated effectively.
  • Research: Conduct research on various topics as assigned, compile findings into reports, and provide summaries to executives.
  • Event Planning: Assist in planning and coordinating company events, conferences, and other special occasions.
  • Expense Management: Track and reconcile expense reports, ensuring accuracy and compliance with company policies.
  • Relationship Management: Cultivate and maintain positive relationships with stakeholders, including clients, partners, and team members.
  • Problem Solving: Anticipate potential issues and proactively implement solutions to address them, demonstrating resourcefulness and initiative.
  • Continuous Improvement: Identify opportunities to streamline processes and enhance efficiency within the executive office, making recommendations for improvement as necessary.

Executive Assistant - What will you need?

  • Previous experience in a similar role EA / PA role, providing executive level support to senior leaders
  • Proactive and a self-starter, committed to continuous improvement and identifying opportunities to improve business operations
  • Excellent organisational skills, able to balance numerous tasks in line with strict deadlines
  • Confident communicator and strong level of professionalism
