We are seeking a highly proactive and resourceful Executive Assistant for our client, based in the heart of London. This is an exciting opportunity to join a fast-paced corporate environment and support a dynamic team. In this role, you will have the following key responsibilities:
- Proactively manage and coordinate complex diaries across multiple time zones.
- Arrange frequent international and national travel, including visa and entry documentation.
- Prepare for meetings and conferences, editing PowerPoint presentations and producing detailed agendas.
- Compile expense reports in line with company policy.
- Coordinate correspondence, meeting agendas, and presentation materials.
- Process legal documents in accordance with company guidelines.
- Maintain invoice records to ensure timely payment.
- Manage telephone calls and e-mails, responding on behalf of the team where appropriate.
- Support visitors from overseas offices.
- Handle routine inquiries and confidential correspondence.
- Keep archive and document registers up to date.
- Maintain accurate and up-to-date contact files.
- Manage and organise confidential files for the team.
- Collaborate with other Executive Assistants in the Private Equity team and provide coverage during holidays.
- Assist other Executive Assistants in the company as needed.
- Perform any other ad hoc duties as assigned by management.
To excel in this role, you should have the following technical skills:
- Strong organisational and communication skills.
- Proficiency in Microsoft Outlook, Word, and PowerPoint.
- Previous experience with Concur and Serengeti is desirable.
- Proactive and able to work both independently and collaboratively.
- Decisive, resourceful, and adept at prioritising tasks.
- Excellent attention to detail.
- Flexible and adaptable.
- Resilient with a strong team focus.
