The Vacancy

We are currently recruiting for an Executive Assistant to join our Industrial Disease team. You will provide an efficient day to day support to the Head of Department and the wider team in general, to ensure they function effectively and to enable them to achieve their objectives.

You will take responsibility and ownership of office organisation, diary management, data analysis, project management, deadline compliance and important documents and files.You will have access to confidential information and therefore requires discretion.

Key Responsibilities

  • Manage an administrative workload under the guidance of the Head of Department and exercise discretion
  • Provide administrative support to fee earners including file-opening, telephone management, minute taking, agenda setting, audio-typing, filing/ archiving, photocopying, email management, diary management and dealing with post
  • Manage templates and precedents for the team
  • Draft documents under supervision, using appropriate precedents and templates to accurately reflect fee earner instructions
  • Undertake basic legal processes, under supervision, such as obtaining relevant documentation, filing and serving papers, creating bundles, arranging case meetings, arranging funding, liaising with the court, completing relevant forms and processing monies
  • Correspond with clients as necessary through telephone, email, letter and through technology
  • Arrange travel for fee earners, including researching and booking tickets and hotels
  • Research and book and make the arrangements for BD and other events, including training, provision and transport of BD materials including literature and merchandise
  • Provide administrative support for business development and marketing activities including booking facilities and refreshments, booking specialist attendances, preparing presentation materials and associated marketing documentation
  • Provide support for the head of ID and act as a resource for the wider team, providing help where required
  • Manage diaries (both individual and group) to ensure key dates and other important deadlines are adhered to and planned for

Skills, Experience and Attributes

  • Previous experience within a Legal Assistant or Administrative role
  • Excellent organisation capability with the ability to effectively prioritise
  • Solid understanding of Microsoft Office suite and other relevant IT platforms
  • Strong written communication skills
  • Demonstrate a good understanding of client relationship management
  • Able to come into the London office on a hybrid basis
