Reed in Colchester are seeking an Events Coordinator for a dynamic and thriving organization that specializes in planning and executing exceptional events for a wide range of clients. As an events coordinator, you will play a crucial role in ensuring the success of each event, from conception to completion.

Job Summary:

Our client is seeking a highly organized and detail-oriented Events Coordinator to join the team. The ideal candidate will have a passion for event planning, possess exceptional communication skills, and thrive in a fast-paced, deadline-driven environment. In this role, you will be responsible for coordinating all aspects of event planning and execution, ensuring seamless operations and unforgettable experiences for their clients.

Event Planning duties include:

  • Collaborate with clients to understand their event objectives, preferences, and budget constraints
  • Assist in creating event concepts, themes, and overall design elements
  • Research and recommend suitable venues, vendors, and suppliers
  • Manage event logistics, including venue selection, contract negotiation, and scheduling

Budget Management:

  • Develop and maintain event budgets, tracking expenses and ensuring cost-effectiveness
  • Obtain quotes and negotiate pricing with vendors and suppliers
  • Monitor expenses throughout the event planning process and make adjustments as necessary

Vendor and Supplier Coordination:

  • Liaise with vendors, suppliers, and service providers to secure necessary equipment, materials, and services
  • Coordinate and oversee vendor contracts, ensuring compliance with agreed-upon terms and conditions
  • Manage vendor relationships, negotiate pricing, and resolve any issues or concerns that may arise

Event Logistics:

  • Coordinate event timelines, production schedules, and staffing requirements
  • Arrange transportation, accommodation, and catering for guests, speakers, and VIPs
  • Oversee event setup, including staging, audio visual equipment, and décor arrangements
  • Coordinate event registration, ticketing, and attendee management

On-site Event Management:

  • Ensure seamless event execution by supervising event setup, registration, and other operational activities
  • Address any issues or challenges that arise during events, implementing timely and effective solutions
  • Act as a point of contact for clients, vendors, and staff during events
  • Coordinate event breakdown and post-event evaluations

Requirements:

  • Bachelor's degree in Event Management, Hospitality, or a related field (preferred but not mandatory)
  • Proven experience as an Events Coordinator or similar role
  • Excellent organizational and time management skills
  • Strong attention to detail and problem-solving abilities
  • Exceptional communication and interpersonal skills
  • Proficient in event planning software and Microsoft Office Suite
  • Ability to work independently and as part of a team
  • Flexibility to work evenings, weekends, and travel as required
