We are looking for a lively, fun lively events Event Project Manager for a super cool, creative and caring client of ours. A full-service engagement agency delivering incredible experiential and meaningful experiences for audiences in virtual, hybrid and live events, strategy, content, production and technology. They are a communication, engagement and logistical agency for some of the world’s leading organisations.

You will need to have worked with Pharma Clients. Big advantage if experience of working in Congress Management environment.

We are searching for a talented Project Manager Events to join this incredible team.

In this role, you will be responsible for overseeing the planning and execution of events of varying sizes, from conception to completion. Additionally, you will provide mentorship to junior team members and ensure adherence to operational processes. Key Responsibilities:

  • Assist the Account Lead in fostering strong relationships.

  • Attend general client meetings, calls, and reviews as necessary.
  • Take the lead in project-specific client meetings and calls, coordinating with multiple agencies when required.
  • Lead complex projects, maintaining high-quality standards throughout the project lifecycle.
  • Define clear roles and responsibilities for project team members and effectively communicate timelines and priorities.
  • Conduct regular project status meetings and ensure transparent communication between departments.
  • Cultivate and sustain effective relationships with suppliers, managing contracting and ongoing communications.
  • Identify and capitalize on revenue opportunities while effectively managing project resources.
  • Lead onsite project management, conducting staff briefings, overseeing workstreams, and troubleshooting as necessary.
  • Conduct thorough debriefs with internal and external teams after events, offering actionable recommendations for improvement.
  • Ensure adherence to client-specific SLAs and process requirements, maintaining compliance with privacy and security protocols.
  • Manage complex budgets, providing quotes for additional items as required.
  • Monitor financial changes throughout the project and execute accurate budget revisions.
  • Oversee payment schedules and currency exchange in accordance with financial updates.
  • Track project team hours and ensure precise time tracking.
  • Ensure timely final budget reconciliation within specified timeframes.
  • Mentorship and Operational Support:
  • Provide mentorship and support to junior team members.
  • Ensure comprehensive understanding and adherence to operational processes.
  • Input daily timesheet activity and manage personal expenses and reconciliations.
  • Collaboration and Professional Development:
  • Collaborate effectively with board members, peers, and all teams to ensure successful project delivery.
