The role

The purpose of the role is to support Sedex Members (large UK/International retailers) to effectively embed Sedex into their ethical sourcing process, by supporting them with Supplier Onboarding, Audit management, produce ethical Data Analysis and acting as the interface between Sedex and Sedex Members

The role requires initially on 12-month basis with potential to continue into a longer contract

Flexible working with the Sedex office based near St Paul’s with occasional visits to Sedex Members’ office(s) within London

Key responsibilities

• Contacting suppliers in scope and asking them to register on Sedex, activate their account and complete the Self-assessment questionnaire and establish the links and visibility for the supply chain

• Performing regular supplier data matching to identify the outstanding actions for suppliers’ registration, linking and Self-assessment questionnaire completion

• Contacting lapsed suppliers and asking them to activate their account

• Ensure all active suppliers have completed their SAQ to 100% or/and update SAQ every 6 months

• Cascading the client’s minimum ethical requirements down the supply chain beyond Tier one

• Running risk assessment for registered suppliers and identifying the suppliers in scope for the Audit

• Supporting with drafting the communication to the suppliers about the project and ethical requirements

• Ensuring Sedex Members’ accounts contains the links with active/existing suppliers that are in line with Sedex Members’ suppliers’ database and removing any outdated links with delisted/not active suppliers

• Managing the clients’ suppliers’ tracker with monthly updates and data quality checks

• Ensuring the data is streamlined in timely manner

• Leading on Audit booking and Audit reports visibility on Sedex

• Review and Assess the Audits’ results in line with clients’ assessment/grading criteria

• Reporting and Analysing Suppliers Audits and Non-compliances data

• Leading on the suppliers’ post Audit compliance process with non-compliances to be closed in timely manner and with derogation process in place where necessary

• Helping troubleshoot any issues that suppliers may be experiencing with any of the above steps

• Creating regular updates about the progress on supplier onboarding, Audit management and post compliance process

• Liaising (and escalating if necessary) with Sedex Members’ internal teams on due or overdue Audits, Non-compliances closure, flagged issue, clarifications around SAQ

• Preparing and delivering regular reports with the programs KPI’s, highlighting actions needed from internal teams and suppliers on incompliant suppliers and outstanding Audit issues

• Engaging with Internal team on suppliers onboarding and escalation process

General expectations and responsibilities to include:

• Understanding the needs of the Sedex Member to help them to meet their ethical sourcing objectives in line with Sedex products and services

• Understanding the requirements for suppliers and how they should be met

• Supporting to effectively embed the Sedex system within its organisation

• Identify and report to Sedex PMO team specific Sedex system issues affecting the Sedex Member and their suppliers

• Help to resolve queries/issues relating to the Sedex platform

• Providing updates and ongoing communication with Sedex Relationship Manager

• Engaging with key stakeholders including: Sedex (Helpdesk, PMO team, Supplier Engagement team, Relationship Management, Responsible Sourcing team), Suppliers, appropriate the Sedex Member’s departments

Knowledge, Skills & Experience

Technical skills

• Sedex system (Advance and New Platform) - previous experience is essential

• Data Analysis

• Salesforce

• Microsoft Office (Outlook, Word, Excel, Powerpoint)

• Strong excel skills (pivot table, formulas, vlookup, data matching)

Ethical Audits knowledge

• SMETA Audits - ability to read Audits, understand the severity of non-compliances and corrective actions involved

• ETI base code

• Alternative Ethical Audits methodologies (BSCI, Fair trade Audits, WRAP, Leaf mark, Global Gap)
