SALARY: £26,987 per annum + Benefits

LOCATION: Hybrid working -from the office inEvesham, Worcestershire, and from home

JOB TYPE: Full-Time, Permanent

WORKING HOURS: 37 hours per week - the Repairs Desk operates from 8.00am to 4.30pm Monday to Friday. The role holder will be required to work on a rota basis between these hours

JOB OVERVIEW

We have a fantastic new job opportunity for a Customer Service Administrator / Repairs Administration Officerwith experience in a customer service setting, excellent communication skills and a high level of IT literacy to include knowledge of databases and precision in data recording.

Working as a Customer Service Administrator / Repairs Administration Officer you will play a vital role in managing, diagnosing and effectively processing maintenance and day-to-day repair requests from tenants.

As a Customer Service Administrator / Repairs Administration Officer you will deliver up to date and accurate information on the organisation’s services to both tenants and colleagues. This will involve investigating service requests, coordinating with tenants to schedule appointments while delivering exceptional customer service.

DUTIES AND RESPONSIBILITIES

Your duties as the Customer Service Administrator / Repairs Administration Officer will include:

  • Diagnose repairs through appropriate questioning to ensure the correct trade attends with appropriate time allocated and the correct priority given
  • Investigate service requests, including instructing pest control and emergency repairs
  • Agree and schedule appointments for jobs with tenants, ensuring the effective use of engineers who are already in attendance
  • Issue job tickets on reported repairs to contractors or internal inspectors within timescales set in policies and procedures
  • Monitor and update engineer/contractor appointments and completions. Monitor and process housing management system worktray items and generate new contacts
  • Administer inspection requirements
  • Correctly advise and notify tenants of re-chargeable works and undertake the processing of rechargeable invoices
  • Effectively record repairs logged through the Out of Hours service
  • Assist in the preparation and maintenance of contracts and management systems relating to routine repair and maintenance
  • Issue variation orders to contractors and to complete job tickets and works orders
  • Process and monitor minor aids and adaptations
  • Raise invoices and deal with payment queries
  • Administration duties for the Assets & Facilities team including updating the housing management system

CANDIDATE REQUIREMENTS

  • Educated to GCSE level or equivalent with a minimum A-C Maths and English.
  • Experience of effective working relations with customers, employees, contractors, and other agencies
  • Dealing with customer telephone queries and seeking positive resolutions
  • Updating databases
  • Compiling information and completing forms
  • Ability to work as part of a team
  • Excellent verbal communication skills
  • Ability to record accurate data
  • Customer focussed, externally and internally
  • IT literate - Microsoft Office software
  • Prior experience in a repairs service role will be an added advantage
