Assistant Property Manager

Job Summary: Seeking a highly motivated and organised Assistant Property Manager to join the team. The successful candidate will be responsible for overseeing reactive maintenance, ensuring exceptional customer service, and managing various administrative tasks related to property management. The Assistant Property Manager will work closely with the Line Manager and other team members to uphold company standards and ensure the smooth operation of properties under our management.
Key Responsibilities:
- Oversee reactive maintenance tasks and ensure timely resolution by coordinating with contractors and keeping customers informed throughout the process.
- Maintain portfolios efficiently, providing excellent customer service and addressing queries promptly.
- Manage electronic communication channels, ensuring timely responses to emails and calls within 24 hours.
- Ensure compliance with health and safety regulations, fire risk assessments, asbestos requirements, and other legal obligations.
- Prepare and distribute monthly reports accurately and in the specified format.
- Handle major works, including issuing notices, overseeing projects, and ensuring adherence to formalities.
- Coordinate with stakeholders to set up and conduct leaseholder and resident meetings, keeping detailed minutes and distributing them in a timely manner.
- Source quotes from multiple contractors to obtain value for money and maintain budget targets.
- Conduct site visits, document findings, and ensure necessary actions are taken promptly.
- Assist in processing insurance claims and writing letters to leaseholders and residents regarding block-related issues.
- Collaborate with onsite staff to ensure the provision of excellent service and availability of necessary materials.
- Participate in training sessions and external events to enhance skills and knowledge.
Technical Skills:
- Minimum of 1 year working in a similar role within Block Management
- Proficient in property management principles and procedures.
- Completion of stage 1 of the first IRPM exam is preferred.
- Strong self-motivation and commitment to continuous learning and development.
- Excellent interpersonal skills to effectively address customer needs and concerns.
- Familiarity with QUBE computer system and Microsoft Word and Excel.
- Strong written and verbal communication skills.
