We have an exciting job opportunity for the role of Single Point of Access Administrator/Reception Team at the Peacock Centre, Mill Road, Cambridge CB1 3UG. This is a temporary position as soon as possible thereafter. The role requires full-time commitment from Monday to Friday, 8.30am to 4.30pm, and is not remote.

Role Responsibilities:

  • Coordinating care by handling calls, emails, and other correspondence from service users and professionals according to agreed protocols and pathways.
  • Recognizing when to refer to a clinician, following standard operating procedures.
  • Recording all interactions with service users and professionals using SystmOne (S1) and other relevant systems.
  • Ensuring efficient and effective follow-up actions from all contacts.
  • Serving as a welcoming first point of contact at our reception, checking in patients upon arrival, liaising with clinicians, and facilitating a positive patient journey.
  • Performing administrative tasks on S1, such as scanning patient records, registering referrals, checking tasks, updating service user information, running routine reports, and registering incoming service users.
  • Confirming appointments via S1.
  • Booking interpreters as requested by clinicians and following up on bookings as needed.
  • Managing and maintaining meeting room calendars.
  • Completing other routine administrative tasks as requested, such as scanning, photocopying, sending out letters/reports, ordering, etc.


Candidate Requirements:

  • GCSE English and Maths Grade C or above, or equivalent qualification
  • NVQ 3 (Administration related) or equivalent experience
  • Excellent communication and interpersonal skills
  • Ability to prioritize and coordinate own work
  • Standard keyboard skills
  • Proven skills in effective use of Microsoft Office packages such as Word, Outlook, Excel, and PowerPoint.
  • Ability to work flexibly as part of a team
  • Excellent time management skills
  • Ability to use initiative without close supervision
  • Ability to handle conflict/empathise with service users who may be in stressful situations.
  • Good attention to detail
