ABOUT THE JOB:

We are seeking an Administration Manager to join our Administration Team. Reporting to the National Administration Manager, the Administration Manager is responsible for providing first class administrative advice, support and assisting Store Managers on adherence to their Store Manager Agreements and clerical services, in order to ensure the smooth running of the department. This role is pivotal in supporting the administration team to ensure administration tasks are dealt with quickly and in an efficient manner. YOUR JOB - your tasks will include:

  • Provide leadership, direction and training to all administrative staff and ensure that they have a full understanding of company policies and operational procedures.
  • Recruitment of administration staff in consultation with the National Administration Manager.
  • Ensure the change float and petty cash are checked regularly and any differences reported.
  • Ensure that the daily written sales and banking figures are sent through to Head Office.
  • Manage cash collection pickups.
  • Ensure the accurate and timely input of invoices, cash sales, bookouts, further payments, sundries etc. into the debtor’s system.
  • Ensure that all debtors reporting is completed and submitted to head office by required deadline.
  • Liaise with finance companies to ensure smooth processing and payment of financing debtors.
  • Manage store debtors ledger.
  • Ensure that all the creditors’ batches are processed.
  • All outstanding claims, direct deliveries, invoices "held awaiting goods" and outstanding delivery dockets are followed up.
  • Ensure rebates are correctly calculated and processed.
  • Stock level report to be completed and verified and discrepancies or differences reported for investigation.
  • Manage the store stock take from an administrative viewpoint and ensure that the stock takes are completed per head office timetables and in-line with company procedures.
  • Ensure that store cashbooks are completed and reconciled.
  • Ensure month end cash books reconciliations are completed and GL journals created and submitted to Head Office.
  • Ensure reconciliation differences are investigated and resolved.
  • Ensure all security requirements are followed in line with Harvey Norman Procedures.
  • Responsible for ensuring adherence to company health and safety policies.
  • Ensure that all takings are balanced and banked daily.
  • Ensure cash sales, invoices, runsheets and credit notes are processed in a timely manner.

YOUR QUALIFICATION & EXPERIENCE:

o 1-2 years administrative experience, preferably within a multisite company.

o Computer literate: including highly proficient in MS Excel & Word.

o Excellent communication skills.

o Strong team management experience.

o Ability to use own initiative.

o Positive 'can do’ attitude.

o Flexibility to meeting changing business requirements.

o Time and attendance systems experience would be advantageous.

  • Honest & Ethical - Demonstrating honesty and being a role model for honest and ethical business practices. Ability to maintain strict confidentiality in performing the duties of the Administration Manager.

Additional Information:

This is a permanent contract subject to a six-month probationary period. We need our employees to be flexible about when they work, covering store opening hours, including evenings, weekends and public holidays.
