Accounts Assistant
  • Job Type: Permanent and full-time
  • Location: Bearsted
  • Salary: Up to £27,000 per annum
  • Working Arrangements:  Office based

A fantastic opportunity has arisen for an Accounts Assistant to join our client’s friendly team. This role is perfect for someone with a passion for finance and events, looking to work closely with a sales team to ensure the financial success of hospitality events.

Role Purpose:

  • Collaborate with the sales team to ensure all hospitality events are invoiced accurately and payments are received promptly.
  • Maintain precise reconciliations and accuracy in all banking transactions.

Responsibilities:

  • Regular liaison with the sales team to confirm contract details for invoicing.
  • Invoice and record deposits and stage payments for events, monitoring timely receipt of payments.
  • Invoice additional event charges where applicable and ensure full settlement prior to events.
  • Raise final invoices post-event, including re-charges, and ensure debts are settled within 14 days.
  • Record financials accurately on Guestline.
  • Produce Monthly Accommodation Reports for the Accountant.
  • Perform bank reconciliation for main trading accounts.
  • Bank all payments received promptly, maintaining detailed records.
  • Balance intercompany accounts and investigate discrepancies.
  • Post payments and receipts into the cash book.
  • Handle month-end journal entries and balance sheet reconciliations.
  • Maintain e-shop records and allocate payments correctly.
  • Assist with sales ledger invoicing and ad hoc accounts projects as directed.
  • Contribute to day-to-day administration, including record keeping, note taking, and filing.

Core Accountabilities:

  • Excellent organisational, communication, and team-building skills.
  • Precise invoicing and debtor balance management for hospitality functions.
  • Accurate record-keeping with strict adherence to deadlines.

Experience and Skills:

  • Experience in an accounts role.
  • Understanding of double-entry accounting.
  • Strong communication skills and a positive, can-do attitude.
  • A strong team player with attention to detail.
  • Proficiency in Microsoft Office and IT skills.
