Project Manager (Venue Sourcing) - Event Agency

Our client is a highly reputable, well-established boutique agency that specialises in global venue sourcing, servicing the tech industry predominantly, among others. They seek an experienced Venue Sourcing Specialist to be responsible for ensuring top level delivery of venue finding requirements for identified client accounts and to be a trusted advisor to all clients. As an experienced event professional, a highly efficient and excellent quality of delivery to each project managed is required as well as a can-do attitude.

In addition to the above, the successful candidate is expected to work on and support the business with a small number of event management projects, which may include everything from planning and logistics to registration, travel management, budget handling, supplier coordination, and occasional on-site delivery.

The right person for this role will have at least 10 years’ experience in meeting and events and must be able to demonstrate excellent UK and International Venue knowledge. They must also be a strong self-starter and be able to work both individually and in a small team environment.

The Role of Senior Venue Sourcing Specialist

Revenue:

  • To maximise client revenue through up selling and promotion of the company’s services
  • To be continually aware of company performance targets in conjunction with the Director.
  • Be fully engaged towards driving client income at all times
  • To ensure confirmations and cancellations are managed in line with the company’s standards and procedures
  • To maximise all income opportunities and to be actively aware of commission rates, offers, and negotiating enhanced levels wherever possible

Client Activity:

  • To undertake face to face meetings with clients as and when required to do so
  • Work alongside Director to understand client accounts worked on and 100% top level delivery
  • For allocated client accounts, to immerse yourself in allocated client brand and culture through understanding of their market place and competitor landscape
  • To support the rest of the business pillars by providing the Director with new and existing leads within client account
  • To always manage and exceed client expectations and all stages of an event enquiry or engagement
  • To coordinate venue visits for the client and where necessary arrange for you to accompany them

Operational Activity:

  • To ensure all incoming calls and written communication are actioned promptly, efficiently and dealt with in an appropriate manner responding to the business and client needs and within given SLA’s
  • To meticulously qualify new incoming client briefs
  • To co-ordinate and reserve meeting facilities negotiating on the client’s behalf using agree rate caps and preferred venues
  • To produce high quality, creative proposals and budget documents in accordance with company standards, and with strong attention to detail
  • Identify up selling opportunities and action accordingly
  • Update in house systems with all required information during the life cycle of an event for strict company compliance & client reporting purposes.
  • To undertake any other duties or responsibilities that may reasonably be expected within the terms of the role
  • To attend all meetings both internal and external that are deemed relevant
  • To share knowledge and to always be at the forefront for sharing ideas and knowledge when working on projects
  • To regularly attend supplier events (sometimes globally) including; familiarisation (FAM) trips, workshops, forums and trade shows in order to stay informed and up to date

Skills and Required Qualifications:

  • Excellent Powerpoint / Excel and general IT skills essential
  • Excellent and strong multi-tasker who works well under pressure and can easily deal with short lead requests within SLA
  • Accomplished and confident negotiator
  • Able to self-motivate
  • Creative, open-minded and willingness to adapt
  • Articulate
  • An excellent communicator & team player at all times
  • At least 10 years significant experience within the meeting and events or Venue Sourcing industry
  • Excellent UK & International venue knowledge - A MUST
  • Courageous - not afraid of a challenge
  • Positive & encouraging approach to all tasks no matter how big or small
  • Language skills desirable
  • Knowledge of Cvent and/or other event management software desirable
