Working remotely, you will ensure the smooth administration of the substance misuse directorate, encompassing some secretarial duties, data entry collection, time management and monitoring systems. You will be expected to provide support and co-ordination on specific strategic projects and implementations. General duties will include: Contributing to the directorates monthly finance management meeting and processActing as the directorates single point of contact (SPOC) for Salesforce/relationship management.Organising, co-ordinating and planning meetings, providing minutes, distributing these and tracking actions for the senior management team and regional managersProviding support by writing business letters, reports, papers, minutes, spreadsheets, presentations and other documents as required, ensuring deadlines are met and the documents meet Senior Management professional standards.Maintenance of administrative/filing/record systems to support the Senior Management Team and Regional Managers.Scheduling appointments, answering phone calls, providing information and updating Senior Management team and Regional manager calendarsMaking travel arrangements and reservations for Senior Managers and Regional ManagersSupporting strategic projects, implementation and investigations. What are we looking for? The successful candidate will have excellent organisational and management skills, an eye for detail, and the ability to work well with people at all levels within the organisation and stakeholders from outside Forward Trust. Essential knowledge, skills and experience required includes: Experience in an administrative roleExcellent IT skills, proficient with Microsoft Office Suite, including Word and Excel.Experience of establishing and maintaining efficient systemsExperience of diary management and co-ordinating meetings and eventsAble to understand different stakeholders and their needs, prioritising work as necessary and working autonomouslyStrong organisational skills with the ability to multi task and a high level of attention to detailAbility to work under pressure and meet deadlinesCredible, confidential, diplomatic and efficient at all timesStrong communications and inter-personal skills.
