JOB TITLE: Temporary School Administrator & Finance Assistant

LOCATION: Exeter

HOURLY RATE: £11.31 per hour

HOURS: Monday to Friday, 8:30am - 4:30pm, potential for some flexibility on starting and finishing times

This is a temporary role however there is potential for the position to go permanent for the right candidate!

THE ROLE: As the School Administrator & Finance Assistant, you will be responsible for providing a variety of administration support for the school office, including financial and organisational processes and reception duties. You will also be a point of contact for parents, visitors and stakeholders, and represent the school embodying and upholding their ethos and vision in all communications.

You will have the commitment to maintaining confidentiality and professionalism in all aspects of the role and understand the importance of safeguarding.

The successful candidate will be required to undertake an Enhanced Disclosure and Barring (DBS) check.

MAIN RESPONSIBILITIES:

  • Financial Administration to include:Managing purchase records and invoice payment
  • Enter data into finance systems and produce reports as necessary
  • Collect, record and monitor invoices and receipts
  • Assist with updating school's manual and computerised record/information systems
  • General administrative support to school office to include:Assist with managing the email inbox in a timely manner
  • Updating and maintaining the school calendar and managing completed forms from stakeholders
  • Organising and distribute incoming and outgoing post
  • Provide administrative support to staff as needed
  • Assist with booking staff training courses
  • Assist with organising meetings and events, including the organisation of rooms and equipment, and providing refreshments as required
  • Keep records in accordance with the school's record retention schedule and data protection law, ensuring information security and confidentiality at all times
  • Reception duties - act as first point of contact for parents and visitors
  • Deal with telephone enquiries as appropriate, passing on messages where necessary
  • Monitor and be aware of school security in line with procedures
  • Various other ad hoc administrative duties as required

KEY SKILLS:

  • Prior administration experience working with the education sector would be desirable
  • Prior finance experience beneficial
  • Excellent communication skills with the ability to work well as part of a team and independently
  • Empathetic and supportive nature
  • Able to prioritise workload
  • IT literate with knowledge of Microsoft Office packages
  • High attention to detail and accuracy
